payroll accrual

longtime employee works 68hr fortnight with anniversary 3 April.  first  fortnight pay in November, hours permanently reduce to 55 fortnight however pay was "finalised" before realising I had not manually altered her hours/leave details in payroll programme.  In the second November pay (payroll hours etc had been corrected) her accrued leave reduced from 83 hrs to 68.  The next (December) pay it increased to 72 hrs. At this stage she is still short of her accrual entitlement.  Will the system correct itself by her next anniversary in April or do I need to make adjustments - and if so, how.  thanks Gail

I would like to extend a warm welcome to you on this forum and I hope you will find this resourceful.

 

From reading your post it doesn't look like you have made any adjustments when the employee reduced the hours. Therefore, I would recommend you to look through this Help article on Reducing an employee's Normal Hours per week. Also, because it is not far from this change, I would almost look at going back and working on it now. You need to make adjustment otherwise the leave will be incorrect.

Hi @Gail206E

I would recommend re-visiting the payroll accrual on her anniversary date and working out the entitlement manually and giving her the correct entitlement then. If you reduce her normal hours per week now - this will reduce the accrual for the whole year - then you would add some to the entitlement when the system rolls over her leave in April.

As I had already adjusted her reduced hours after realising my error in the following pay fortnight, I see now the accrual for the whole year HAS altered (as you state).  I am keeping a manual tally of fortnightly accrual but can you explain how I actually add this entitlement in payroll at her next April anniversary?

Hi @Gail206E

 

If necessary, a user can manually add (or reduce) hours to an employee's entitlement by increasing (or decreasing) the Annual leave Due as at xx/xx/xxxx value in the Maintain Employees>>Leave Details tab. 

 

For example: if it does show Annual Leave Due as at xx/xx/xxx being 50 and you need to add an additional 8 hours to the employee's entitlement you would increase that value to be 58 (50 +8).
