This is how we handle these documents now, and will make full switch soon to business central.. If you do already run microsoft 365, and you have this much use for a sales in tray, you would be 1000% better off making the switch to business central in dynamics 365. After you have a chat to a sales representative who will scope out your needs, and set you up with the right free, 30day obligation free, trial. You'll be blown away at how low cost it actually is, and the benefit gained for your business. Forget Exo or Advance if TO < $5mill, this is way more affordable and you can ditch myob subscription. it will look after you right up through & into a your dream fortune 500 company size. This url takes you to a microsoft info page, at 1st you'll fall off your seat at the price, after some study and talking with a sales person youll see how superior it is and how much cost saving it will deliver, have a look, do your research : https://dynamics.microsoft.com/en-au/business-central/overview have fun. Re: Sales: In Tray - attach documents Hello Britt, No - MYOB has a system of Ranking a suggestion by vote, - which essentially means this will not have even got into thier radar yet. The ranking system does them no favours and they are happy with it is seems – essentially they and are not interested in breaking ground to move ahead of the competition like most businesses have to, to merely survive 😊 You will need either 3rd party ERP or set up your own system on your own server onedrive/s PETwrote: I have seen the in tray for purchases and ask if there are any plans to add an in tray to the sales invoice side. It would be very helpful to us as a solar installation company to store all compliance and design pdfs with the installation sale record, so that over time we when we re-visit the sale record we can find all of that in one place. 'In tray for Sales?" This post was originally put up in 2015. It's now 2020 and I would like to know if there is now a way to attach information to a sale (like the attachment ability in purchases). The attachment is just for our records, to keep supporting info with the invoice. Please advise harepoint or some other system in a cloud storage. Re: In Tray: Ability to convert Orders to Bills Projexwrote: The In Tray appears as it develops will be a great asset and time saver. If you can link to an exisiting bill, You should be able to link to an existing order. We eneter our orders (yellow) then send to our supplier. hen the invoice comes in we change to a bill (blue). This allows us to keep track of backorders etc. If you could link to an existing order with your in tray invoice why could you not automatically change the order to a bill?. Basicall In tray only works for bills only. If this would change it would benefit a lot of businesses. In tray is a great step forward. "In Tray Concert Orders to Bills" H MYOB - you did not listen to Projex golden tip for your company. We know this is the reason - Projex is saying hey guys, do something about it. PS to Projex - this response means they are not interested in your suggestion as they feel it is plenty good enough already. Re: Sales: In Tray - attach documents Hello PET, and any contiributors. 'In tray for Sales?" I can't see why MYOB don't make these as extra options available to purchase if you want them - maybe there is not 2000likes... but there are those that need it and would be happy to pay an extra 5 or 10 bucks a month. I have got sick of waiting - 3 years gone buy since I started on this topic. MYOB's rate of user friendly imporvements are too slow - we are moving to an ERP system feeds into MYOB that will handle invoicing & purchasing, accounts Recievable, and Payable, Inventory (Accountright you purchase for the Inventory feature - it is no good if you are a manufacturer, and for Job costings - it costs way too much to manage the data in accountright to be sure you have good high quality costings) Also it will allow us to do inventory, purchasing, quoting & invoicing all from our phones where ever we are. Accountright doesn't do that, if you use the essentials app, it doesn't allow invoicing of inventoried items, and it is way too slow and difficult. Accountright App is only available to IOS..... Also we can look up most reports on our phone like Sales for the day, Purchases for the day, Productivity for the day. Can't view any reports with the MYOB app. MYOB will point to EXO, but it is not suited to small size manufacturers like us. Re: Inventory: Separate item descriptions for sales and purchases Your suggestion is a good one, and would work for products where you can order without the need for technical details in the description. In our case we need 2 different descriptions because of important details. All MYOB would need to do is fit anothersimilar size window to the Item details tab and select tick box option use item description on sales & purchase for1stwindow /oruse item description for sales only, when this option is selected - a windowcould show called purchases item description, and a check box: use item description for purchases In our case we have to create n item for selling the item, and another item for buying the item. Soto look at buying history & selling history of a product we have 2 items we have to print reports on, and when looking at profitability of an item.... guess what it doesn't work in MYOB reports because the buy and sell items are not the same item. Also we have to buy in one item, build to the sell item to make a sale....So is alot of extra steps when it could be so much simpler and require a lot less management. To Do List: Include Totals on screen $totals field/box in the spare space at the top right of the page in the accounts recievable and accounts payable tabs of the To Do List, so that we can get a very quick snap shot of the bigger picture. "Add totals display at the top of column in To-Do List" Re: Inventory: Separate item descriptions for sales and purchases This would be actually user friendly. The way t is at the moment is very poor. MYOB is certainly loosing the game here, have a look at QBO. is far more user friendly. I over with this system in 2018. They hve just put the price up, but not solving stupid things that cost us $$$ every day. Re: Inventory: Adding "I Inventory this item" to an existing item It is a pain and costs a lot of time, we took the path kirsti has - because we moved carefully, and have spent so much time, the biggest problem we now have, if we want to anylse consumption of an item across say 5 years - we have to find the old inactive card, get the hostory off that, and then also the new card. We have got used to it now, but it is rather a pain and often a cause of frustrated coments from the team. Re: Inventory: Multiple/back up primary supplier This is very needed, thanks Sabre. The ability to use an "Item" for purchases, sales & inventoryreally needs some improvement. At this point int time the system is too rigid and narrowing and we end up with thousands of unecessary and confusing long listsofItems numbers and sometimes unecessary stock, to get aroundthese sillyrestriction as Sabre has posted how they are getting around the blockage. The Item Card should have a seperate tab for the Buying "description",Currently the same as theSelling descriptionso we have to make a new buying Item and then a build scenario. Each item card should have the ability to add Extra Tabs for multiple suppliers of the One item if the user needs to add some in. This would allows us to anylse supplier options prices etc, and could even include a comments box for freight info or other options when buying from the named supplier The Build feature should have adrop downcolumnthat offers the option to select an alternate/interchangable partfrom stock or froma "backup supplier"to fill the void for the particular sale at that point in time - but so that whenan alternate isselected, theactiondoes not change the build structurefor future use to this alternative supplier part. Flexibility to cope with the reality of day to day business is really really needed.. I think it could be made awesome buy opening up theflexibility of the item card. Would be very powerful! Re: Inventory: Separate item descriptions for sales and purchases The 2 Items so we can seprate out Buy description from Sale description is really poor. I put this effort in in the hope MYOB can see how ridiculous it is and fix it fast. Example Buy Item Description : Araucaria cunninghamii (Potted - under 40cm) Condition on arrival to be Free of disease, in good health and immediately saleable Sale Item Description : Hoop Pine (Other names: Colonial Pine, Queensland Pine, Moreton Pine) (Botanical Name: Araucaria cunninghamii) Size: 20-40cm So we buy as buy item, recieve item and "build" to sale item to bridge the connections: This is pain point 1 NEXT: we need to analyse spoilage on this product for 2016. (IE: the product was bought, stored and some died, and were written off. but dd we get it right?) To Analyse this product - we can not use ITEM HISTORY because the BUY ITEM only shows when we have PURCHASED and that there is NONE SOLD because it does not show thatTHE ITEM WAS BUILT INTO ANOTHER ITEM to be sold. The SALE ITEM HISTORY does not help because it only shows we SOLD them, it doesn't show that we PURCHASED them -NOR DOES IT SHOW THAT WE BUILT THE SALE ITEM fromANOTHER ITEM. So we have to run ridiculous reports - export to excel for faster converting to something that is easy for staff to check through and ensure we have written off all the dead / diseased stock. or have some been stolen? You see what I mean now? All these extra steps, time, frustrationand management needed- all because wedo not have 2 ITEM DESCRIPTION OPTIONSfor the one Item. While you guyscan say do this and it works - it is like saying here is your new car: beautiful car, even has aircon, (but you have to use this smooth polished and chrome plated crank handle to make the Airconditioner work)
