Secure Invoicing

I have a few concerns about the new Secure Invoicing upgrade we are being basically forced to do.

We don't have online payments from our customers and probably never will. So now instead of emailing our invoices through MTOB we have to print to PDF and then send through Outlook for example. What if we have 50 invoices to send??

So how do we answer the upgrade questions when we don't have customer payments.

Further to this I don't understand why MYOB would need our turnover etc. What has this got to do with Secure Invoicing. MYOB just get around this question by advising of their Privacy Policy.

I am just sharing my experience and offering no advice, however my opinion is that MYOB are placing themselves in a very risky predicament regarding litigation if (read when) they have a data breach and have collected unnecessary information on businesses contrary to Australian law. I cannot believe they haven't learnt from the Optus saga and others. AFCA are very helpful and their cases are an easy to navigate process. If you believe any financial services provider is not acting lawfully or reasonably, I would suggest talking to them.

      Hi b_schmaal and all
The business verification process is a one time step. The documents are not stored or 'mined'
We verify, then move on, think of it like showing ID to purchase a bottle of wine. The bottle store isnt keeping your ID, they verify it and then it's done.

Hi Mike_MYOB, the bottle shop doesn't ask for digital copies of Trust Deeds, passports or licences and doesn't require a direct debit agreement, bank account info or cash flow. The bottle shop only needs my ID to verify that I am old enough to buy alcohol. Although the bottle shop needs to comply with strict regulations not to sell alcohol to minors, it is not necessary to see ID from EVERY Customer.

MYOB on the other hand, requires Verification of ALL customers, even though there is no legal basis for the request, (unless you want to use MYOB's Secure Payment System), which many of us don't).

You keep saying that MYOB does not store the data, and you have even suggested that data is securely deleted after use. MYOB's privacy policy says different, as does FrankieOne (The third party verifier)

This is part of FrankieOne's pricacy policy

        • My bank or other company uses your services to verify my identity; what data do you hold about me?
Our customer sends us data which we use to verify your identity on their behalf. Usually this includes your name, address and ID documents. We're a data processor over this data, which means we can only hold it in accordance with our customer's instructions, and it is our customers’ duty to provide us with a legal basis for processing this data. This also means that if you have any questions about how your data is used in this way, you should first contact the organisation which asked you to provide your data. We also retain a copy of your data that was sent to us to ensure we can respond to legal claims, and comply with our legal obligations in connection with anti-money laundering.

is this correct or are there different privacy policies out there?

It seems that we have no choice but to also lodge a case with AFCA, to gain a full exemption from the secure invoicing requirement, as others have done.   Ridiculous that we have to go to these lengths to send emails from our accounting programme!!!!

So what happens if we refuse to verify.  We don't use these features and will not be handing over our Company's bank details or turnover.  This way we are protecting our privacy from a software company who should be minding their own business.  Surely if we use the software they can see the turnover or is this an Agenda being pushed in the name of Safety?

Amanda, no one wants to give MYOB access to their private business information regardless how many posts you create. You shouldn't be asking for business turnover - it is none of MYOB's business. If your customers are paying the heavy subscription, you can't decide to cut off parts of the service like emailing invoices etc. Which brain came up with that move? And once I've complained, I get a phone call from MYOB trying to sell me a more expensive version of the software - coincidence? I don't think so. Return the full use of your software to your subscribers or you will see a lot of them just go somewhere else. In the meantime, I am just pdf-ing invoices and looking for ways to move to other software.

I wonder if anyone has approached Dept of Consumer Affairs with this nonsense and ask them what our Consumer rights are in terms of subscriptions and services being cut off.

Why are we forced to opt-in? We are not using the MYOB M-Powered payments? We don’t receive credit card payments etc.

  • Ridiculous what MYOB is doing.  They are damaging their relationship with a lot of customers and I have many clients that are looking to leave MYOB now and move to their competitor Xero.  They need to make this optional very quickly or lose a LOT of business and that includes our own Accounting firm!  This is a poor business decision by MYOB to say the very least.  Fix this quick!

    Agree Wendy,

Yes, you get the standard response from MYOB about privacy.. Giving that information seems to go against privacy, they aren't a bank, they are a software company, and in the process take away the right to email invoices when we are already paying for that as part of the service they provide.

Not only is the process to validate to send invoices via MYOB over the top, have you seen what the customers get from you if you do the secure invoicing.

One of our trades has validated, and when you open the email, you are presented with 2 green options to "PAY SECURELY" and small print to "view your unpaid invoices", to view and save or print the invoice you click on "view your unpaid invoices" and wait while authenticating your session scrolls around (image doing this every time for 10 invoices or more), then a list of unpaid invoices appears, hope you have taken note of the one you want to print off..

But wait, don't click on the little box on the side next to said invoice, the PAY INVOICE green button shows up again.. no, click on the invoice number and it authenticates again and then click on "View full invoice" to download, print and another option I can't remember, and at that point finally you can print save etc the invoice.... Can only imagine the annoyed customers opening up a lot of invoices sent to them in individual emails... MYOB has made it harder so maybe the Print to PDF from us is easier than this option anyway.. Absolutely crazy changes from MYOB.. no wonder people are leaving a system that worked and wasn't broken.

So I am still on the phone waiting to get through to speak to someone about this - have just been put through to yet another 'specialist' team and now my position in the Queue is '9' with "waits longer than normal".  This is excruciating trying to get help!  Whilst I have been on this rather looooong phone call I have been emailing our accountant and the decision has been made to move to Xero - this is the final straw!

I currently use both xero and Myob Account Right ( desktop Version) for two seperate companies.

be aware that if you are used to Myob Account right ( desk top version) like I am, you will find xero very frustrating if not already, viewing that you posted 3 months ago. If you use online version, then maybe Xero will be friendly enough for you.

I agree with you about Myob disconnection over the 30years i have used them, and only getting worse, not to mention paying $97.00/ month for a service that only provides an online programe?

These accounting companies as many large corporates, force us into their space where they want us to accommodate their profit!

Maybe time to go back to pen and paper ??

We also are getting organised to change to Zero... We have been using MYOB for 30 years, but this requirement is beyond ridiculous, and even if you give them all this private information, your invoices will still go out with the green 'pay here' etc.

  • Hey Wendy2018

Emailing invoices from your MYOB file will only be restricted if you don't complete the business verification process. This page has more information on the documents and information required for the business verification process.

If you have any questions about or need help throughout the verification process, you can reach the team by raising a case from your My Account dashboard, make sure to select 'Financial Services' and the team will be able to reach out and assist accordingly.

Amanda, we don't want to complete the verification process! The problem isn't completing the process.

Wendy2018, for what they charge for a subscription, the right to email your invoices without disclosing everything about your business should be a given.
I don’t want to authorise them further to deduct from our acct or have extra later if control. Who does that?

      Hi

what if i only print off PDF invoicing as I have always done to deliver in another way,not direct from MYOB, do I still need to upgrade?

And if not, is the option to upgrade in the future if i decide to email invoices directly from MYOB, an option?
