2025.1 Payroll Incorrect Gross YTD Calculation

Hi,

I have a spreadsheet I track MYOB payroll annual leave in due to historic issues, up until we applied the 2025.1 update, everything has tracked 100% in synch, as of this update, the Gross YTD calculation used in both Annual Leave and in the employee Audit reports seems to limit the gross value to the last 52 pays instead of using the full years date range.

I.E. Today is 26/03/2025, a payroll run processed on 27/03/2024 is NOT included in the gross YTD figure used in the annual leave calculation or in the Employee Audit report (starts with first payroll run in April)

The above logic is not strictly correct either, the prior payroll processing date was last Wednesday so 19/03/2025, to get a full 52 week value, then the calculation should be for the date range of 20/03/2024 (Take last finalised date then add one to day, deduct one from year) up to & including 19/03/2025 which in that case would include TWO additional payroll runs from the 20/03/2024 & the 27/03/2024.

As any errors in payroll fall back on the employer as being at fault, this sort of error really does not help matters at all.  I have paid 2 x employees based on my spreadsheet calculated hourly rate as today, I trust that more than the payroll package & have included the values from the two missing payroll runs in March 2024.

Please fix ASAP.

Cheers,

Phil

    Thanks Phil_mtc

Now I understand what you mean - I will investigate this in the few clients we have still using this payroll, and I can lodge a case with our partner support team if I find the same.

    Hi Jennie,

exactly my point, the calculation in this updated payroll is NOT correct as it does NOT include all pays from the prior 52 weeks, this is true based on both actual date (real time) & is even worse when you consider the 52 weeks should be calculated from the date payroll last run as opposed to todays actual date when processing payroll.

    For yesterdays example:

    Actual date was 26/03/2025

Payroll Processing date being the same

52 weeks going backwards should have included 27/03/2024 and did NOT include that payroll run in the gross YTD figures (as detected by my spreadsheet I run for exactly this reason)

    If you consider the last time payroll was processed as the start date for the 52 week period, then this is even worse;

    Yesterday was 26/03/2025

    Last Payroll was 19/03/2025

52 weeks should have been 20/03/2024 to 19/03/2025

Gross YTD in payroll did NOT include paydays 20/03/2024 nor 27/03/2024 so in this case, the gross YTD was missing 2 x payroll runs.

I'm not counting actual weeks, I'm using a full Year (365 days) as my logic as surely that is the intent of the holidays act when it talks about Gross YTD - it's a full year between those dates otherwise potentially you will always be short changing your staff on what their earnings in an actual year are.

This is only a problem in the 2025.1 update, the 2024.3 program was calculating this correctly (well, it always matched my spreadsheet for the last 9 months or so prior to the update to 2025.1).

    .

    Cheers,

    Phil

    Hi Phil_mtc

Annual leave calculations use the prior 52 weeks to when the leave is being paid out, so with your dates mentioned I would think this is correct. I would think it would be using the week ending dates only? The 52 week calculation is a roving 52 weeks and changes every payrun.

Oh yes, sorry - that's true.

Assuming it still says 2024-2025 in the bottom corner... sorry, I don't know why the calcs are wrong.

The desktop version only asks for the Current Pay End Date & Payment date. Both of these are set to the Wednesday date.

  • What date is your period commencing, period ending and pay date?
The updates are driven by pay dates, correct?
