Cannot send to accountant

Hello, I am trying to send my file to my accountant for FY2020. When I try to send it the following error is displayed:

"You may not export transactions from purged periods. Transactions with a date prior to 01/07/2019 cannot be exported".

I have checked the transaction journal and there no entries prior to 01/07/2019.

Can you please help?

Hi @Clearmount 

 

Thanks for your post. So that I can better assist can you please clarify if you are using the Import/Export assistant or Accountant Link? If your company file is online you can invite your accountant to access your file to save you having to export the data. I'll give you some help articles with detailed information that may help with your issue:

 

Provide information to your accountant

Invite a user to an online file

Hi Tracey

I am using the accountant link. I am trying to share my online file with my accountant via email.
I have followed the articles and still having trouble.
Here's what I find in more detail:
I select [Accounts] then [Send to Accountant].
Then I select This financial year (FY2020) and highlight all the months from July to June.
I leave the [Year-end Adjustments] box ticked and the [Information Required] is [Both Financial and BAS].
When I click the [Email] symbol at the top I get an error message:
"You may not export transactions from purged periods. Transactions with a date prior to 01/07/2019 cannot be exported".

I have gone through the transaction journal and confirmed there are no transactions prior to 01/07/2019.

Thanks for that detailed information. Do you get the same error if you run an account based report such as the Profit & Loss for the same period?

yes I have successfully run a P&L and Balance sheet report for the 2020 financial year.

My apologies for the delay in getting back to you. Can you try to send smaller periods, say a month at a time, to see which month is causing the error? 

 

Your other option, and the one I would recommend, is to invite your accountant to access your file: Invite a user to an online file

Hi Tracey

 

thanks for that suggestion, I think I have it sorted now. The company file started in November 2019 and I found that I could send the months of Nov2019 through to Jun2020 successfully. If I included the months before (i.e. Jul 2019 through to Oct2019, I got the error.
