Zip file

I am trying to back up my accountright file as a zip file to save to desktop to email to our accountant.

Only doing it once a year I have totally gone blank.  I find my file to zip ok, but what do I do from there to zip it and save to desktop please?

Re: Zip file

Hello @billyjess

To take a backup of your file which puts it in the zip folder you need to go to File and choose Back up, this will take you through the steps to back up your company file which will be in a zip folder you can pass onto your accountant.

I have attached a Help Article on backing up your company file here for assistance.

Did you know that instead of having to provide a copy of your file to an accountant if your file is online you can simply invite your accountant to the file and then they will be able to view it without needing to do a backup. I am also providing the Help Article on inviting your accountant to your file for if your file is online and you wish to do it this way instead.

Please let me know how you go.

Kind regards,
Chris

Re: Zip file

Thanks Chris ..  all sorted ... I lost the procedure after I went to backup, as I usually always back up to usb, but got it that I had to change it to desktop.  Did that, and it zipped onto the desktop.

We do have two files on line which is no bother at all, but these other two are off line and only has to be done to the accountant once a year.

All good now, thank you so much.

Re: Zip file

Chris just a comment, for our two on line files, I have never had anything come up to show me who is actually using the file.

Re: Zip file

While you can't see who is currently in the file. you are able to run the Session Security Audit report to check which user IDs have logged in during a date range.

I have attached a Help Article on Company File Security audits for you.

Have you heard of our AccountRight Ideas Exchange? It's where you can give and vote for other suggestions that go directly to our developers. You might like to add your idea of being able to check who is currently logged in a real-time setting.

Kind regards,
Chris
