Our small business is currently trying to go paperless as much as possible. Any accounts received by email are received as a pdf and I transfer it into files for safe keeping. I started thinking wouldn't it be easy if you were able to scan the document from a scanner /or email and import the pdf and attach to customer file or invoice or receipt number etc thus allowing you to look in the one area for a copy of a document instead of two places. It would be time and cost effective and easy for  the accountant and the tax audit trail or is there something that does this all now and I am behind?

With the release of AccountRight 2018.4.1, we are excited to announce the ability to upload and attach documents to Spend Money transactions and cards. This is also in addition to the AccountRight In Tray.

Last Wednesday 4/2/15 one of your sales team told me this feature was included in Myob. I still cant seem to attach supplier invoices. Is there an update needed to be download?

Hi @PatKelly 

Thank you for enquiry regarding the ability to scan and upload purchases to the company file. We are still in the process of finalising the possible update that would release this feature, as such we don't have a estimated time as yet.

The sale team member may have been referring to MYOB Essentials InTray which is a similar feature in the MYOB Essentials Accounting program, sorry about the confusion.

Is there going to be a smartbills feature in AccountRight just like Essentials, where key information is extracted from the receipt document once scanned into MYOB?

 

If this is being developed is there an estimate for a release date yet?

Thank you for your enquiry in relation to this idea. 

Correct, we are planning to release a similar feature to MYOB Essential's Intray with AccountRight 2014 for files in the cloud.

We don't have a release date as of today, however it is marked on the product road map to be released as part of the AccountRight 2015 updates due out this year.

Do we know how far away the app/taking photos of receipts & linking to MYOB will be?  We are using account right live and considering the switch to zero as it already has this function and for trades it is almost essential now.......thanks

Thank you for your enquiry 

As indicated by @ASWatCR, AccountRight 2015.1 has the ablility to upload purchases and bills into your software. It will also reads the document and generates a transaction based on that information. It does allow the user to take a photo and send that in if required. The feature is called "In Tray".

Please note that currrently it only availabe for Bills.

Thanks for this, i will look in to it.

 

In regards to being able to take photos of receipts - is this something we will be able to do with the on the go app soon?

 

Ie husband is concreter so when he buys fuel or concrete etc... other programs allow you to take a photo and upload it straight to your program.

 

Am i correct with the current in tray solution that the photos or documents need to go on to the computer before they can be uploaded?  Ie not directly from a phone?

Hi @SPkel 

The MYOB OnTheGo app only allows for you to manage cards and record invoices. It doesn't allow for purchases/photo of purchases to be upload using the app directly.

However in saying that you can take a photo with your mobile device and then email it directly through to us to get read. There is no need to save it onto a computer and upload it.

When sending via email, attachments have the following limits:

 

Files up to 5mb can be uploaded  

10 documents can be attached on an email. 

All HTML and Text in emails is ignored. 
The email address that send it from needs to be invited/have access to the file in the cloud.

Emails are sent to: bills@accountright.myob.com.au or bills@accountright.myob.co.nz
 (for NZ clients).

so we cant use this function to spend money ie when we use a credit card or cheque???
it should be on the app so we can enter the data straight away - i went live so i could ge tthe app and enter purchases on the spot and give my supplier a P/O umber and enter the details and enter all my spending of money .... only to find that the mobile app is useless - now i have 3 tablets i bought for my staff that are only getting used for playing games on...
