Cleaning up an old company file by setting a new file for the same company

We use AccountRight online.  We need to clean up an old, clumsy Chart of Accounts and Jobs etc.  So we decided to start a new file commencing 1 July.    However we need to keep using the old file until all the end of year transactions, reporting and audit are completed.  How can we do this?  Do we need a second subscription just for the couple of months it will take us to get the the prior year finalised?  

I'm open to all suggestions.  

 

I hope, also, that when we do move to the new file, the old one will be available for the purposes of historical data.  What is the best way for us to do this?

Hi @TrishT

 

I can see from your account linked to your user name that you can activate a number of offline files under your serial number. To do this, simply create your new file as normal, and save it in a library on your computer and activate it as normal. when the time comes to use this file instead of the old one, you can simply make a backup of your current online file, restore it offline, and then call our help desk (1300 555 123) who will remove your online file for you. From here you can then upload your new file which you want to use.

 

Also when you are ready to move to the new file, your license will allow you to keep using the old file as long as it stays offline.

Thanks Stewart.  If I understand correctly that would work well if there was only one person needing to access the file.  However, that is not the case.  Three of us will be working on different aspects of the file until 2017-18 is completely finished. 

 

Is there no way to hold the 2 files on line for a couple of months even?

Sorry for the delay in answering your post.

 

Every file online does require a subscription to be kept there, to retain 2 files at the same time we could purchase an additional subscription to keep the other file online temporarily and then remove it when you're finished.

 

Additional subscriptions are at a cheaper rate than the primary and you can subscribe on a month-by-month basis and may be an option for you.

 

The alternative is by following the same details as @Stuart_W where you could keep the file offline and remove the online file. If the other users will be on the same network, you could look into sharing your Library across the network to use the other file offline at the same time.
