Job Contact Name on Time-Billing Invoices

We are a small engineering company using Timebilling invoices. Most companies require a PO number on invoices, if not a contact name for the requested job.

 

- We cannot figure out how to put a contact name for the specific job number onto our timebilling invoices.

- Currently, we have job name and description automatically appearing, and we input the PO number manually when creating invoices.

 

Is there a quicker way to have the contact name automatically appear on customised forms? We cannot find the right "field" - they seem to be just related to the Card rather than the job. Please help!

Hi  PAL1, thank you for trying to answer our query, however the text box will only automatically fill when there is an appropriate data field available. There doesn't seem to be one for Contact of the actual job. Yes, there is a contact for the Company. When we are working with big companies, there is almost always a different person requesting works to be done, and those people need to be expressly mentioned on the invoice before it will be processed. 

 

Any help on how to do this would be great. Thanks.

Hi @EngineeringMYOB 

 

The [Contact Name] field on a (time billing) invoice will be the one listed on the customer's card.

 

As multiple jobs could be added to the invoice at the time of creation, job information is stored as part of the Invoice table. For example, right-click on the invoice table* in the Customise form window and select Show/Hide Columns. 


In terms of Job Contact, this is not a field that can be added to time billing customised forms. Although you could look at utilising the Job Description field in the Job Information window for that particular job to store that contact information (Lists>>Jobs>>Select the Job>>Job Description). You would then just need to add in the Job Description field to the customise form.  Note: this method would be used if the job contact is not likely to change between transactions. For example, transactions for Job A will always be required to show Bob Smith as the contact.

 

If you do require a situation where the job contact is going to be changed each invoice then a better strategy may be to utilise a different field on the Enter Sales window to store that number i.e. the Comment field.

 

*Invoice table is where you can see Date, Units, Description...

This is exactly what we have been doing in the interim! Would be helpful to have the job contact field, but this is definitaly a suitable alternative.
