A user who creates a Portal may leave the business and a user who loads documents or creates a taks may be on leave or out of the office. Could we have an enhancement that allows notifications when clients upload documents to go to a generic email address, for example admin@, that is monitored by administration staff on a daily basis.

Is there any restriction on the maximum file size that can be loaded on the Portal? Also does any one Portal have a storage limit?

Hi @TimO

 

There are file type limits when Accountants publish from Accountants Office or Accountants Enterprise.  However you can go directly to the Portal, create a task and upload any file you like the only condition being that it needs to be 18MB or less.

 

Your client also log into the Portal click on documents and then upload or use any file type as long as it is 18MB or less.

 

In terms of a storage limitation - I'm looking into this for you and I will reply back to on this.

You're quite correct - that is a great idea and we've received previous requests about this.

 

MYOB has taken this on board and it is already logged as an enhancement request.

 

In the meantime any employee can access the portal and see new approved tasks or navigate to the Documents/Received Tab and see the client files uploaded.

I just wanted to make sure that I responded to you once I found out if there was any storage size limitations to the Portal and there is no storage size limitations.

Our firm has started using the Client Portal and overall it has been really good.  We have come up with our own suggestions to enhance the experience for both us and our clients.

 

1)     More flexibility with the logo insertion as our logo being long appears quite small on the Portal.

2)     When adding users to a Portal, to pick up their email address from AE.

3)     Ability to have folders in the Portal where clients can store & organise their documents.

4)     Ability to delete a Portal if no tasks are open or documents are stored.

5)     Ability to set up automatic reminders to users to sign documents (based on due date).

6)     Consider bookmarking of pages to be signed in a document instead of user signing all pages.

 

We look forward to any future enhancements.

Just a quick question about point 2

2)     When adding users to a Portal, to pick up their email address from AE.

 

We have many clients who share an email address, and so several clients or entities will have the same email address in Practice Manager.

In the portal, this doesnt work, as you can only have one user per email address. Clients arent keen on setting up email addresses just for the portal, as they wont check them, and hence wont get notifications of items awaiting actions. We explain to them that seperate logins are required because thats the only way electronic authorisations can be attributed to an individual, which they understand, but dont like having to have a separate email address.

This is one of the major points of confusion and consternation when trying to get clients onto the portal.

 

How are others dealing with this?

One small gripe I have is that the client can see who created the task in their activity feed. This can create some conflict when junior staff help with a job.

 

I would suggest changing it so the client only sees "ABC Accounting created a task" from their end, but keeping it so we can see which staff member done it from our end.
