Exporting of contacts into excel incomplete

I have found the report to export my contacts into pdf or Excel. All looks good and simple to use, however the list of contacts is only a small number of actual, six only in fact.

 

I have selected ALL contacts, so there should be a lot more than six. I don't think its me.

 

Can somebody help with this?

 

I am the owner, I've checked my settings, apart from my accountant, I have full admin control of the program. Even after checking all the check boxes in roles and permissions, I still can't export all the suppliers, only 6. I do note that Access level "create and edit" is selected, but its a bit strange as it's greyed out.

Hello @Paul62 
To resolve this issue we need to temporarily take the file offline, refresh the cards by exporting and then reimporting them and then restore the file online

 

  1. Take a backup of the file by going File > Backup
  2. Save the backup to the desktop
  3. Choose Restore from the file menu
  4. Select the backup on the desktop to restore
  5. Restore the file to the local library
  6. Exit the online file, then open the restored local file
  7. Export the impacted cards through the Import / Export Assistant and save the file to the desktop
  8. Import the exported file through the Import / Export Assistant
  9. Take a backup of the local file, saving it to the desktop with an identifiable name
  10. Restore the second backup to the online library

    I have attached a Help Article on backing up and restoring company files to assist in the backup and restoring steps I have mentioned. Please let me know how this goes.

I've just spent 2 and a half hours with the help desk who became disconnected with me, could be mobile phone issues my end. They seemed incapable of solving the problem ahd haven't tried to call me back.

 

Your instructions do not reflect the Myob Essentials menu I have at the dashboard. There is no file > back up menu selection. I am not an accountant, I am the business using myob to run my business.. Perhaps you are not clear on what I am?

 

I thought all files were held by myob??????

 

Since when do users back up for software and files which are all web based???

 

Looking forward to hearing from you again. I've run out of time to do much else today.

My apologies I had given you the instructions for what to do if it was an AccoutnRight file. 

I assume you are running the Contacts report - Reporting>>Reports>>Business reports>>Contacts. This particular report can be exported to Excel using the Export button. You can even add additional fields prior to the export using the Customise button. 

Can you please try clearing your browser cookies and cache or attempt in another web browser, If using Google Chrome you can also try in incognito mode ( to enter incognito mode you need to push Ctrl+SHift+N at the same time). and see if you are able to export all of your contacts this way. 

With the 6 contacts that are exporting, are any of them suppliers or are they all customers, just want to get some more information around this as you mentioned that not all suppliers are exporting.

Hi,

 

You are now on track.

 

It's a no brainer, I've done everything right and the excel file will only export 7 records, I didn't count  right. 

 

Either way, I've done everything as instructed by you and over the phone with the same result.  I didn't get a job ticket due to my lost phone connection, so we are effectively starting over.

 

I await your further responses.

 

update: I have a case number now.

Hi Paul, 

 

I have the same issue! I've tried all that is suggested and I only have 9 contacts that I could export (out of hundreds of "ALL" contacts.

 

From what I can tell, it seems that since the upgrade it's only recognizing either ones that may have been added since the horrid upgrade or ones that you've 'used' in your business (to invoice or purchased from). That's my take on it anyway!

Paul, I may have found the solution...

 

Go into reports, and contacts then hit the report options tab... make sure that zero balances are clicked and see if that fixes it. 

To get addresses to export, you have to customise the report fields. So click into Customise, go into the 'select columns to display' drop-down arrow box and add the fields you require. Then drag them around to suit. crosses next 

 

I don't have many debtors or creditors so I randomly clicked the zero balances and it worked! See if it works for you.
