Re: BALANCE SHEET AND A/P NOT BALANCE

Hi @Branson

Thanks for your post. If there is an out of balance displayed on the Payables reconciliation exception report it means that there is a difference between the total of all of the open invoices and the balance of the payables linked account.

The linked accounts for the payables can be found in the Manage linked accounts in the Accounting menu.

Out of balance figures can be caused by any of the following:

  • Transactions posted to the linked account directly, such as a general journal
  • Using a spend or receive money transaction to record payments and receipt
  • Dating the payment before the invoice

To find the cause of the out of balance:

Change the report date back 2 months and run the report again. If you still have an out of balance repeat changing the date back and run the report again until there is no out of balance. Once you have identified the point where the file is in balance, run the report again one month ahead to see if the out of balance exists.

If the out of balance doesn’t exist, run the report forward one week at a time until the out of balance is found. Whilst if it does exist run the report back one week at a time until you find the out of balance. Review the transactions in that week to find the transaction that caused the out of balance and make the necessary corrections.

Kind regards,
Yanike
