We are trying to do debtors with follow-ups and it's taking double the time with taking customers off and back on hold - what a fiasco! Again - we are not changing an invoice but just sending them to customers. Please fix the mistake as soon as possible - MYOB is making a tough year tougher. Yesterday I wasn't able to send from the print/email option for any customer on hold but can now - perhaps they are fixing? Fingers Crossed. Re: Sending invoices for customers on hold ..........and to top it off. My team are sending invoices to customers who were invoiced in June. This is normal practise to do follow-ups for overdue invoices- note nothing is being changed it's a simple email. We have locked down for end of financial year while our accountant reviews. As for being locked down, we usually lock down a month after 3 months and have always been able to continue to send invoices with no changes. NOW - if we try to email an invoice it is reading it as a change and stops from sending. Which means I have to unlock, wait until they are finished and lock again. I want to repeat WE ARE NOT MAKING ANY CHANGES JUST EMAILING AN INVOICE. When the coding was done in the latest the update someone made a mistake. Please FIX ASAP, Sending invoices for customers on hold The most recent update is not working as below. Not sure why these updates were considered and implemented but MYOB just added more work to a the simple action of sending an invoice. If you are emailing an email where no changes have occurred, a new message pops up advising you that changes will be saved before you send. Fine if you made changes but why if no changes were made. We send 50-100 invoices every afternoon as part of our end of day practise and now we have this unnecessary message where no changes have been made and we are simply opening the email and sending. We are not changing but have more clicks - productivity lost. The next stupid thing is you can't email an invoice on hold. You have to go back and take it off hold , email and then put it back on hold. This follows on from the above message advising any changes will be saved even when there are no changes and it just the simple act of emailing. Something we do all day when an account is on hold - as a following up for payment. Please differentiate between emailing an updated invoice and one that just needs to be emailed to a customer - seriously. Re: MYOB Security HI and thank you. I would like this reported as it makes no sense to have permissions that only "sort of " work and can be manipulated. It opens a lot of doubt about security. I am now concerned that other more important data permissions can be overridden especially those that cover staff and payroll. I am wondering if these are protected. Given my findings today - I would suggest a thorough permissions review. Re: MYOB Security Hi I think the point is being missed. The "move items" in their profile is not ticked. The inventory is read only. It works from the dashboard perfectly. They can't do a thing It is only when they go to the profile of the item then the location tab - the Move Item function works. We have tested in these profiles. I am not sure how I can explain this any differently. Re: MYOB Security HI - not sure I understand your question but I created these roles quite sometime ago. Nothing has changed but I wasn't aware you could go around the permissions .The issue is simply I can restrict Move Items under the Inventory Page in the dashboard - that's been working well. My operations manager was helping a staff member who has this restriction. They were looking at the item profile in Items register >Tab Locations (we have multi warehouses) where the Move items at the bottom is not greyed out and can be accessed by the same person who can't do it from the dashboard. MYOB Security I have found a gap in MYOB permissions which is troubling. In inventory you need permission to move items from one warehouse to another. This works well - if you don't have permission the link is greyed out. Here's the problem - you can get around it. I have staff who have "read only" ticked in their user profiles under Locations and move items not ticked at all. They can however go to Items Register > Search for an item and click on the individual item > click on the tab called locations > click on the move items (bottom left ) and without the above permissions move items around to to other warehouses. I have tested. Any ideas on how I can protect this activity? The people who have Read Only in inventory need to be able to read but not move any items. MYOB and Outlook Firstly - the selection location doesn't offer an option to match this message. Perhaps an option for technology would be helpful. We have discovered the Microsoft option to update to New Outlook in 365 doesn't work with AR MYOB. You cannot send invoices and reports. We have reverted back to the original outlook and it's all working fine - MYOB will need to do some coding to allow this intergration. Re: Permission levels changed Thank you for your response. Permission levels all understood and how changing one thing can impact on other levels. In this case they had been changed without notice. I believe this was generated by a system update. This issue was also picked up by another business' MYOB administrator. I checked with her to ensure I wasn't mistaken. I now do a weekly check and after any system updates.
