User Tracking

One of my employees wants to use Myob Accountright at their home after hours, to arrange quotes etc.

I want to be able to know when that person logs on and off.

Is there a way I can track or be notified when that person logs on and off? And what activity is performed?

The Session Security Audit report will show when a user logs into and logs out of a company file. It will include the date and time of those actions:

I see there is also the Journal Security Audit.

Is there a way to show Sales "Orders" or "Quotes" in these audits?

The Journal Security Audit report looks at the journal transactions associated with each transaction. As a quote or order doesn't affect any accounts, until it is converted into an invoice, no journal entry is created. This does mean that those types of transactions are not tracked by the Journal Security Audit report.

Ok, that's understanable.

 

I have just looked at my session security audit and cannot understand why the Administrator (thats me) has multiple logon times all during the night. It shows I have logged out at the end of the day and yet there are 47 logons  for last night for instance. Some are 3 or 4 times at the one time (ie. 3 at 5:35am).

It shows when I logged in this morning. It show only a single log in and log off for the other users of the file. There are no multiple one for them.

Why does the Administrator show multiple? I did a report for 1st to 5th of September. Every day shows me logging in succesful many times during the night as well as during the day (not as many during the day ?)

There is also a SYSTEM log in? What is that?

Generally speaking, when you do run the Security Session Audit report you will find the transcript of when a user logged in and logged out. Occasionally, that report can show that a user has logged on/off at a usual time or incorrectly logged in. This mostly due to multiple users logged into the company file with the same username, third-party add-ons and other software utilising the AccountRight program. With that being said, we do encourage you to review Help Article: Ways you can protect your AccountRight company file to ensure that you are protecting the data inside your company file.

 

When the system needs to record a transaction on behalf of the user, a end of financial year journal entry is a prime example, the system will need to log in a user to record those transactions. This user is a hidden user called SYSTEM and is designed to achieve those tasks. Generally, that user will be automatically logged out after a brief period of time, it if doesn't log out that is perfectly acceptable as well.
