Inventory items list

I want to download a list of my inventory items into Excel but only ACTIVE items. Can't see any way I can do this without dowloading the whoke lot and going through & deleting the items not required. All suggestions gratefully received.....

In the perverse thinking of computer programmers MYOB records Inactive as YES this card is Inactive which comes through to Excel as a Y. If you export all cards it is a very simple matter of sorting on Inactive Line (generally one of the first few columns)

Re: Inventory items list

Thanks Ron, I have tried running every inventory report either with all inventory or "showing inactive codes" but when I dowload to Excel there is no column which shows "inactive"? Obviously missing something here.

I have a copy of v19 open and exported "Items" - unlike other cards the Inactive is one of the last columns. I will give it a try when I have an inventory copy of 2016.x open but I doubt that it will be radically different.

Re: Inventory items list

Which report are you using to export the "items" - I have tried everyone & it doesn't work for me. Cheers Jackie

To export data you do not use reports. Go File Import/Export Assistant (201x.x) or Export Data (v19.x) and it will lead you through the steps. You need to save the ITEM.TXT file that is created then open this in Excel. In the excel when you look for the file to open you need to change from excel files to all files in the bottom right of the Open screen.

Re: Inventory items list

Thanks for the advice Ron, I have just done that and it is an absolute jumble in excel due to the colums not being "fixed width". At least it will give me something to work on as we have hundreds of items with varying length descriptions.

One thing that I find useful in excel is the hide facility. Highlight a series of columns then right click and select Hide. You can readily have say number, description and Inactive being the only columns visible. .When it comes to Unhide select the columns either side of the hidden ones, right click and Unhide. Remember you must close the excel before you try to Import
