Importing Sales Orders rather than Invoices

are you able to import data so they create orders rather than invoices??

 

trying to get around being able to import sales data, but them rejecting because we don't have enough stock entered into the system

if we could raise as orders than convert, this would address the issue.

 

Any otpions, I cant find any easily??

Hi @AmandaRobertsC , yes, sales can be imported as orders. For example, if you are using the Import/Export facility, set "Sale status" to "O" instead of "I".

Thanks @AmandaRobertsC ! We have created a solution for a client who receives daily sales orders as CSV/Excel files from multiple sources, and we import them (ie post via the API) to their AccountRight file as invoices, but we check the onhand stock for every line, and if any line on the order has insufficient stock, we change the sale tatus to a sales order before posting it.  This makes the import process more efficient.

@Mike_James I now seem to be having trouble with getting the unit price to import.

it enters the orders as orders, and has the quantity correct, but the unit price comes through as zero, as well as the total line.  The freight comes through correctly and the amount paid,  but I can't ascertain why the price isn't loading correctly??

 

I even exported 1 order, again to copy all the headings and then did an auto match to re import, but it made me change one of the columns that the auto match did for Total Inc GST.

 

has this happened to your client?

Hi @AmandaRobertsC , the most common causes for nil amounts appearing in the imported transactions are  commas or dollar signs in the amounts (for files prepared in Excel then saved as text, amounts should be formatted as General first), and possibly the sequence of columns in the text file.

 

If you wish, attach a copy of the file you are importing, or part of it, and the import log. Be aware that this is a public forum.

But still happened again.

 

Attached is a copy of the MYOB Order so you can see what is coming through and what is not

and the import file.

 

I;ve kept it simple to one transaction so its easy to trouble shoot.

Hi @AmandaRobertsC , it looks like you are importing a file designed for the current AccountRight program, in which case you'll need to add "{}" all on it's own (without the quotation marks of course) on the first line, so the column headings will start in row 2. Without those symbols, AccountRight treats the import file as being designed for v19, which has a different field layout.
