Advanced WFM - Login security change & password process

Hi everyone,

In the 9.8 release of Workforce Management a change was made to the way user security is managed.


Previously, changes to the Employee's Email address field would change the Login Email Address in the authentication system.

This has been stopped, so Login Email address is no longer editable by end users.

 

This means that the Email address shown against the employee can no longer be guaranteed to be the same as their Login Email address.

Prior to 9.8 changing the Email address would update the Login Address


Currently it is not possible to see the Login Address in the User Interface, there is a change planned to surface the email address.  My very quick mock up of what this feature might look like/the intended change is below:

Login Email will be made visible to Administrators, and editable by Super Users.

A method will also be added to the User Profile section where a User can change the Login Email address associated to their account. (Exact details pending).

 

Take Homes:

  1. Changing the employee Email address no longer updates the Login email address
  2. Login email address is currently invisible (Will be changed in a future release)
  3. If someone is having problems logging in, they should follow the instructions here:

    (Article is being updated to include more information about password resets.)
  4. If password resets aren't being received, please contact support so we can confirm the email address & mail server logs.

 

Simultaneous change - "I can't see an email address on a new employee"

If an employee does not have an Email address in "Contact Details" section, they will be unable to login/reset password, as they have not completed onboarding.

Contact Details - On left needs to finish onboarding, on right is fully onboarded.

You can see this in the Employee list, if someone hasn't finished onboarding they will have an envelope next to their name to let you resend their invite link:

Aardvark hasn't created a user account, so still has an envelope.

If you are having trouble with receipt of invite links, make sure that "Enable Notifications" is set to true in company settings.

 

Affect on new implementations:

This change will affect all new implementations, as new employees are unable to log in until they use the invite link.

If Invite links are not sent because "Enable Notifications" was off, then users are unable to login (even using password reset) until after they have been resent their invite and used the invite link.  This can be done in the Employees list once Enable Notifications has been turned on.
This gives improved ability to onboard cohorts of users during implementation.

 

 

Simultaneous current problem - Hotmail/Outlook addresses

We have had reports from Hotmail.com & Outlook.com (Microsoft provided addresses) failing to receive their password reset emails, apparently due to incorrectly being identified as spam.

If you have followed normal troubleshooting steps for Hotmail/Outlook addresses (especially, checking spam), please report to MYOB Support via Phoenix so we can confirm email receipt information from the mail server/investigate with engineering.
