Self-Serve: Managing user access

User access is now self serve! Manage users and update roles directly through the relevant Partner Dashboard or individual file.

Before you start

There are two different access levels:

  • File User – gives a staff member access to a specific file only.
  • Administrator – provides broader access and allows the user to add/manage other users.

 

Adding Users

Inviting a staff member to a file

  1. Sign in to the Partner Dashboard.
  2. Click on the settings cog on the top right-side, select Users.
  3. Select the staff member you'd like to add to the file.
  4. Select the relevant file under File access.
  5. Confirm the user’s access.

This assigns the staff member as a File User for that individual file. It does not make them an administrator of the file or give them access to every file in the practice.

 

If the staff member needs administrator access, they must be assigned the Administrator role from the file itself. Instructions to manage user access from the file can be found here.

 

Inviting multiple users to a file

  1. Sign in to the Partner Dashboard.
  2. Click on the settings cog on the top right-side, select Manage file access.
  3. Select the relevant file.
  4. Select Manage access and select the employees you'd like to add.
  5. Save changes.

 

Bulk access to multiple files

The staff member will need to be added separately to each file they are required to access. 

Access must be assigned to each individual file through the Partner Dashboard following the same steps above. 

I need to be an administrator for a file

If you need administrator access to a customer’s file, the role must be assigned to you from the file's user access window. 

A user with an Administrator role can do this through the file’s user access settings. If the Administrator role cannot be assigned, raise a support case to complete the change.

 

 

Removing a user

The removal process depends on how the user was originally added.

 

If the user was assigned access through the Partner Dashboard:

  1. Open the Partner Dashboard.
  2. Go to the relevant practice or client file.
  3. Open the user or file access settings.
  4. Select the user.
  5. Remove their access.

 

If the user was invited directly from the file:

They must be removed from that file’s user access settings.

Removing them from the Partner Dashboard will not remove access that was granted directly through the file. Instructions to manage access in the file can be found here.
