Cash GST paid balance

Hi all,

This has me beat. I am not even sure where to begin explaining the issue, but here goes.

I recently completed my April to June BAS reporting method cash. Part of my usual process includes reconciling an accrual balance sheet with the payable and receivable with tax report. After processing the BAS transaction journal my accrual balance sheet shows matching GST balances to the payable and receivable with tax report. Happy days! Cash version of the report shows GST nil balance as I expected.

A few days later, I look at the balance sheet report again checking off ready to pass over to the company account for tax prep. I can see the accruals balance sheet GST still matches the BAS, but now there is a balance in the cash version which should not be there.

GST Reports/return remain the same and match BAS submitted. Balances at 31 March still matches previous BAS and cash balance sheet GST still nil. So definitely something in the June quarter.

I can see the in question amount showing in the GST detail cash report for the period. So it seems I know the transaction causing the problem. There are 6 transactions all identically processed, but one is causing the issue (maybe). The 6 transactions are credit notes created and allocated with dates inside the quarter. 5 are fine, but one seems to be causing the out of balance amount. The original transactions that were credited are opening balance purchases.

I tried undoing the credit note and re-allocating, but no change. Amount is still there.

Any ideas what it could be? There are a few of us using the file, so could be that, but what could have been changed that I can't find it by comparing reports? I looked at the report showing changes to the file, and I can only see myself using the file during the period in question.

Any ides would be appreciated. :)

Jennifer

    Hi Jennifer71,

Thanks for the detailed breakdown, sounds like you've already done a lot of the right checks. If the accrual reports still match your BAS but a GST balance has appeared on the cash balance sheet, it's likely  how one of those credit notes was applied, especially since it relates to an opening balance transaction. Credit notes applied to historical or non-standard purchases can behave differently under cash reporting, triggering unexpected GST movements. You can also visit this help pages that will give you more information about this.

    Hi Earl,

Thought I would provide an update for you about the issue I posted about a few month ago, just in case anyone else comes across this same sort of thing.

I didn't end up contacting MYOB but kept thinking about the issue. I still don't know what happened or the cause but I did work out a fix.

I ended up changing the tax code in the credit note to N-T, and cleared the original purchase. Then created a journal on same date to reverse the N-T tax code and re-code to GST. Balance sheet GST accounts now back in balance in both cash and accrual versions. GST reports correct, BAS still correct.

Thanks for your original reply, It got me thinking...

    Regards

    Jennifer

    Hi Jennifer71,

Thanks for sharing how you solved it. Great to hear your GST reports and BAS are all correct now. That N‑T to GST workaround is tidy, and this will really help others who run into the same issue.

    Cheers,

    Princess
