Analyse Inventory Report & Online Stock On Hand Report Errors

Hi Team

 

We have an odd error with our Inventory. We use Analyse Inventory Summary and Items Register (Detail) Reports together for our process of stock control and re-ordering.

Lately we have noticed one item which we have 104m in stock and is not currently on order.

 

Analyse Inventory from our dashboard shows us the correct values - 104 on hand, zero on order and 104 available.

The Analyse Inventory Report shows 104 on hand, 320 on order and 424 available (This is very misleading when figuring out what and how much to order for replacement stock)

When I go into MYOB app online and create a Stock On Hand Report, this shows two lines for the same item (many items in fact, but not all items) and says we  have -216 on hand and available.

 

Please advise how we can fix this issue, I do not really care about the online app as it is too cumbersome to use in our application, however it is interesting that it shows what it does currently. We have a high flowing fluid stock requirement, therefore we need acurate data on our reports from MYOB dashboard to ensure we are not under (or over) stocked. As we are an import busines, replacement items take nominally 10 weeks or more to get in via Sea.

    Thanks for your post and for providing the report screenshot.

     

    My apologies for the late response. The Analyse Inventory Detail report displays a list of all sales orders and purchase orders that include the selected item. The list includes date ordered, date promised, amount committed, amount on order, and amount available for the selected item.

     

    Both available and ordered stock are listed in the Available column. You are able to place an order with your supplier and continue to sell the product while the supplier completes the order. It just indicates that either the consumer will receive it or they will have to pick it up later. For example, I'm a knitter, and some of the yarn I use is quite expensive and unusual. I occasionally need to go to my local yarn store and ask them to order a certain number of skeins of a particular yarn from their supplier, as it's not something they usually keep on hand, or, let's say, I want 10 skeins of a particular yarn, but they only have 7. I'll take the 7, and they will order in the remaining 3 for me, so as the customer, I've already paid for it even though it's not actually on hand yet.

    Hi Shella

     

    Thank you for responding I appreciate it, however this is not the problem. I am pretty well competent in using our inventory options in MYOB and how you can invoice (as an Order) items not on hand yet and in reading the information given on the reports.

    Our problem is the reporting software is incorrect has has a pretty major glitch.

    I repeat, the "Item Information" from our MYOB dashboard has the information correct on what is on order, what is committed and what is available. The Report itself ("Analyse Inventory - Summary") is wrong and gives other values. I just had to place an order for the same product late last week and noticed as well the "Purchase Price" came out wrong ($1.28 per unit is the cost, and what is shown in "Item Information" but on the PO "Order" it came out as $1,000 per unit), so the problem is not just the reporting software having a glitch on Stock quantities (Available and On Order) but also the item cost. 

    I don't think this is a user compatible fix, but seems to me IT needs to look at it and rectify from MOYB end. Since there doesn't seem to be a contact anymore for IT Help in MYOB, this is unacceptable. I was hoping a moderator could advance this issue to the MYOB IT team to fix the problem. There used to be a system where we call call and have someone run a "script" over our file and this would seem to fix these sort of errors.

    Are you able to help get MYOB to action this problem?

    Thank you for your follow-up. As previously explained by Shella_A, the report provides a detailed analysis of your inventory. However, if the values in the report do not match your ledger records, we may need more information to address the discrepancies.

     

    I suggest reopening the report and clicking on the values that need correction. This action will open a window displaying the transactions that influenced the report values.

     

    Additionally, understanding how the Analyze Inventory Reports compare to other inventory reports such as the Item Transactions report and Item Register report, especially when filtered for current dates, could be beneficial.

     

    Please review these reports to further investigate the values in question.
