Payroll YTD figures are incorrect.

I prepared a spreadsheet of each pay slip to get the correct YTD total and the YTD totals in MYOB do not agree. 

The YTD totals, in MYOB, were correct as at Nov 23. The employee was terminated in December 23 - (only a redundancy / retirement payment was made for him). The termination payment appears on the YTD but the wages paid for November are now not included in the YTD. I cannot finalise his employment or provide him with a Payment Summary as the figures the ATO have are incorrect.

    I would recommend you first check the Payroll Register Summary YTD report to ensure all employee's totals are correct - this is where MYOB takes the figures from for STP Reporting. If the figures going to the ATO are wrong for this employee, they might well also be wrong for other employees. MYOB may have failed to update all totals for some unknown reason.

     

    If all others are correct and only this employee's is wrong, using suggestion by Earl_HD may well fix the employee's income statement, however your P&L should also be reviewed. I would recommend having this all checked by someone who knows what they are doing, in case one fix creates more problems.

    Hi Shella,

     

    I have checked all the ATO payroll categories assigned to those pay items included for the November pay run, all of them are correct and no changes were made in the November pay run.

    I don't think sumbitting an update event to sync all the figures correctly will work, as:

    1) I sent an update event to the ATO on the 29/12/2023 when I advised them of the termination of the employee. Attached please find copy of STP report - (the 29/12/2023 is date sent termination date to ATO)

    2) On 17 January 2024 is the date the Employee's Accounting firm requested the Income Statement from the ATO, which showed the discrepancies between the Employee's Verification YTD and the ATO's Income Statement.

     

    I have attached myob Payroll Activity Report - this report shows the correct figures. Why do some myob reports show correct figuires?

    It is a dilemna but I don't see how sending another update event will sync all the figures correctly with the ATO.

    Hi JaniceM,

     

    When sending an update event, kindly make sure to unfinalise and remove the termination date first for the impacted employee. This will be the reason why, even after sending an update event, the correct YTD figures don't reflect. To undo the finalisation, go to Payroll > Single Touch Payroll reporting > EOFY finalisation, select the correct payroll year > Tick the box against the employee name, and then click on 'Remove finalisation and notify the ATO'. Once done, you can now proceed with removing the termination by following the steps below.

     

    • Go to Payroll.
    • Select Single Touch Payroll reporting.
    • Click on Employee terminations tab, and then select the correct payroll year.
    • Click 'Undo' against the employee to remove termination.

    Lastly, you will need to remove the termination date from the employee profile. To do this, go to Payroll > Employees and then select the employee name > Payroll details tab, remove the termination date > Click Save.

     

    After following the steps provided above, you can now send an update event to show the correct figures and then rerun the report.

     

    If the report is now showing the correct figures, you can refinalise, enter the termination date again, and report to the ATO about the termination.

    Thank you for your response, but it is not the solution.

    The termination date was removed from myob and update event sent to ATO 9/4/24. As you will see below there are no terminations:

    No results found

    You made no employee termination payments in this payroll year.

     

    The termination date from the employee profile, is blank.

     

    Sent update event to ATO today 15/4/2024

    The report printed today (15/4/24) is still not showing the correct figures, refer attached capture snip.

     

    I will attach the spreadsheet again for your perusal, it is a comparison of:

    1. Total of all payslips paid to the employee for 23/24
    2. Payroll figure the ATO have received from myob via STP
    3. YTD pay-run history report
    4. Payroll Activity Report
    5. YTD Verification Report

    You will note that the only myob report that has the correct figures is the Payroll Activity Report.  Why is that the only report with the correct figure??

    Please not that screeds of information has already been provided to Shella at myob.

    I trust that with all the information provided that a solution can be obtained swiftly as the employee has retired and requesting his income statement.

    BRILLIANT !!!  you have solved the problem.
    There were no figures in the employee's pay history for wages paid 7/12/23.
    Manually entered the missing figures. The payroll register report etc, all checked out, then sent 'update event' (with fingers crossed)
    The payroll reporting - YTD verification report is now correct.

    Hi Gavin,
    Thank you for your input into this dilemma.
    Luckily there was only one employee, upon checking the pay history in his card file I found that there were no entries for December.
    I felt confident to send the update event after reading your comment that the figures for STP reporting come from there.
    The YTD Verification Report now agrees. Also checked P&L and no changes were made to the wages figures.
    Thanks to you and Earl I will get a good night's sleep.
