MYOB AccountRight Enterprise v19 Upgrade Path to stay current and supported

Hi,

I am looking at the following scenario:-

 

Current Version:  MYOB AccountRight Enterprise v19.5 in a network configuration


Questions:-

  1. Upgrade path and requirements to the next closest MYOB AccountRight Enterprise product version.
  2. Upgrade path and requirements to MYOB Accounts Premiere?
    1. Is this the closest thing to the MYOB AccountRight Enterprise v19 (and path of least resistance to migrate the company files)
  3. Or, can we continue to pay for the annual support license?
  4. Should we upgrade/update to AccountRight Enterprise v19.16 first and then look to the next release or product version that will be supported?
  5. Maintain current installation on a client/server network or rather a peer-to-peer to network?

 

NOTES:

  • Tested MYOB Premier to see if it will upgrade / update the MYOB company file.
  • Downloaded MYOB Premier to test.
    • However, when attempting to open the company file based on MYOB AccountRight Enterprise v19.5, it complains / reports the following:  "This file has been upgraded for use with a newer MYOB Product" (r.13.5)

    Take care with terminology here. MYOB has multiple products called AccountRight. You have MYOB AccountRight Enterprise v19.5 (circa 2011). MYOB release MYOB AccountRight Enterprise v19.16 in 2019 and stopped support for the v19 range in Sep 2019. It is unlikely they will allow you to upgrade to MYOB AccountRight Enterprise v19.16. 

    You can continue to pay for a support licence, however you will not get any benefit from it.

     

    Instead they are pushing all to upgrade to MYOB AccountRight AR2025 - a subscription only version. The database is a totally different format and the file has a different extension (.myox). Most v19 .myo files can be upgraded to AR2025, however some Enterprise files cannot (without specialist intervention). In AR2025 the highest product is AccountRight Premier 2025. Features such as Negative Inventory do not exist in AccountRight Premier 2025 and a v19 Enterprise file cannot be upgraded if Negative Inventory is in use (without specialist intervention).

     

    AR2025 will work in a network environment (inc Terminal Server). However if you use Payroll, to report STP via MYOB you will need an ongoing subscription and will need to host your company file online (not on your own server etc). There are work arounds such as using a 3rd party product such as STP Creator.

    Suggest you get in touch with someone line FGH Tables who support v19 with repairs, tax tables, confirmation issues, initialisation errors etc. BTW MYOB may offer a 'free' upgrade to AR2025 - but remember nothing is 'free'. For example you cannot use tax tables (or payroll) in AR2025 without any ongoing subscription.

     

    With regard to your last comment, Premier cannot open an Enterprise file where Non- Premier features such as Negative Inventory are in use.

    Hi Gavin;

     

    Thank you for such a great and detail reply.  This really helped and provides clarity to their product versions and I now have some follow-up questions if you don't mind.

     

    I actually did a test for upgrading from AccountRight Enterprise v19.5 to AccountRight Enterprise v19.13 and then to AccountRight Enterprise v19.16 (which they call it AccountRight Classic v19.16, which even installs in a different folder by default) and to my surprise the company file upgraded.  Will now have to test to see if will actually go into Read/Write mode by doing the registering /confirmation code thing for the company file.  Will do so on the network where the current MYOB company files are installed and running (if it is going to do the confirmation check based on computers and IP).  This looks positive so far. 

     

    However when I attempted to open the AccountRight Enterprise v19.16 company file with the AccountRight Premier it did not open and complained that it was a newer version.  So if the push is to use and upgrade to MYOB AccountRight Premier AR2025, then I will need to see how we can get the company file migrated to this new version.  It's a pity that they don't have an upgrade path published.

     

    Your recommendation to FGH Tables is great.  We've had to use them in the past to correct and support something that was going on with the Trial Balance (balance issues). They were great.

     

    Inventory, Tax tables, Payroll and/or STP are not used and will not be used.  So hopefully migrating the data from the AccountRight Enterprise v19.13 and/or AccountRight Enterprise v19.16 can be done without any issues to MYOB AccountRight Premier 2025 so that we can maintain support from MYOB.

     

    QUESTIONS:-

    • Do you know if MYOB itself has a path for doing an upgrade of the MYOB AccountRight Enterprise v19.13 and/or MYOB AccountRight Enterprise v19.16 (Classic) to the MYOB AccountRight Premier 2025?

     

    • Or, can you suggest a 3rd party, the specialist intervention, for getting the MYOB AccountRight Enterprise v19.13 or MYOB AccountRight Enterprise v19.16 company files into the MYOB AccountRight Premier version?

     

    • Also, how do you subscribe to AR2025? 
      • Their site is difficult to navigate through to even see if this is the correct option to pick.
      • I just went to the download updates page and used the updates to install and test.  This has been their only saving grace.

    Greetings Gavin - need some heads up on upgrading Enterprise to AR Premier 2025.10 - it has been a longtime since I upgraded a classic Premier/Enterprise but a client has now decided to go 2025.10 yesterday with pending deprecation of Premier Enterprise.

     

    Notwithstanding your comments re negative inventory - I do not think they run a perpetual inventory - I think so unlikely a problem there - also, I do not think they run multi-currency.  Multi-location, again I don't think so?

     

    However, a heads up on conversion to 2025 - I am going to run a test upgrade as we have to big Access databases running all their invoicing and payments that need conversion to apis - so my aim is to get the client to expedite a paid sub for 2025 AR Premier - I will get a copy of their current MYOB Classic Enterprise file and do a conversion server side not cloud wise - then upload the converted file ( all things being equal and it converts) - and it will be the uploaded test file we will use to get the apis going.

     

    Any problems with my approach - notwithstanding necessary permissions from the client.

    Your proposed approach sounds fine. Now that AR2025 supports multi locations and foreign currency, those concerns are no longer relevant. A few things worth noting:

     

    • if client not keen to sign up immediately, MYOB will provide a trial serial number which can be used to test.
    • sometimes negative inventory cannot be turned off even if there are no negative items - file may need repair to fix and switch off the preference
    • if foreign currency is used, some invoice layouts are not allowed and if used in foreign currency transaction the file will not upgrade. Layouts need to be changed to allowable types, eg Item and service - easy for current year, less so for prior year - may need 3rd party help if you encounter this.
    • confirmation is available via a 3rd party if/when MYOB stop and decline to issue patch for those who want to keep using

    Thanks for your advice. Have since gained a copy of their myob.myo file - it was 1.95 mb long - an optimise reduced it to 495k - there is no perpetual inventory, no multi-currency. There are 2 files, the 2nd one no idea.

     

    So I tried a local server upgrade of the file but after almost 24 hrs - and leaving my laptop going all night it was hung on, or still converting it -checking 'constraints'  - so I killed it this morning - no idea whether it was still going - my next try is to purge the file of old data and try again.

     

    I know big myob files may need to be sent into MYOB - but I will try an upload to a licenced 2025.10 - as I have requested the client to expedite getting 2 licences to move forward.

     

    Sometimes uploading and allowing the online system to upgrade can work better. All trial and error - but 1 Mar 25 is just around the corner and we have 2 MS Access databases to re-engineer for API access.

     

    An email stating the move forward facts goes out today and the path forward for API connectivity by 1 Mar 26. (I note your advice with keeping MYOB Enterprise - yes am aware but with this client they are not small but a big business that should have upgraded long ago and ignored advice to - kid gloves removed!!)

    The long upgrade process is not due to the file size (I take it you meant 1.95 GB reduced to 495 MB on optimise). I have upgraded many files in my time, some well over 490 MB.

     

    The issue is I suspect this file has possibly a large number of payroll categories and or employees and or payroll history. The upgrade process is flawed (poorly coded) and rather than use indexes, the upgrade iterates in a circular fashion through every employee and every payroll category and every pay history record in seemingly endless loops. I had several upgrades that lasted over 24 hours due to this issue. The upgrade ran smoothly only after deleting standard pay records. Upgrade shouldn't take over 2 hrs for a 500 MB file.

    Thanks for the information - yep minor error 1.95 GB to 495 - good info on upgrade - I see 2025.11 removes ability to upgrade - God dam.

     

    I have just emailed client on upgrade pathway and API process - waiting to hear back for go ahead. I don't think they have a choice actually - but I will play around this weekend with purging and upgrade process before 2025.11 rolls out next Wednesday.
