Thankfully this isn't an everyday occurrence, but there have been times when I've needed to open both the current data file and a backup copy to compare transactions line by line and identify where something went wrong.
A few questions regarding the removal of local backups:
- As things stand today, is the only way to access a backup data file through MYOB Support?
- What happens if we need access to multiple backup copies to investigate an issue over a period of time? For example, if we needed to review backups spanning a month, would they all be provided at once, or would we need to submit a separate request for each backup version? In other words, request the latest backup, then the next one, and so on.
- When a backup copy is restored, will it be possible to open that file at the same time as our current live data file for comparison purposes?
- If we are relying solely on MYOB's 7-day backup retention, and a worst-case scenario occurs requiring a rollback, does that mean we could potentially lose up to seven days' worth of data entry?
I'm keen to understand how these scenarios would be handled in practice, particularly for troubleshooting and recovery situations where access to historical versions is critical.
Hi lisadgs
- Backups are available online for each file that is online - no you don't need to go through support to get them - go to FILE - backup or Restore and they are visible. Yes you could ask support for a copy - and you will get a copy, for a few $$; but you can't open it offline with any app - and you can't restore to online from offline.
- Because data is not purged from your file, and hasn't been for years you don't need multiple backups to sort a situation - it will always be there back years ... your backup doesn't lose data - but if a backup is 7 days old and you need to restore - yes you will have lost 7 days of data.....
- And there is no way of viewing the existing file at the same time as the backup - that problem has been raised and MYOB have listened in that we need a sandpit ability to open another file, a backup but at present there is no way to open 2 files to compare you are newer than 2026.5 variant. You cab back up the existing and restore the older backup - do your Sherlock Holmesing - then restore the working file from backup - really neat MYOB.... How to test whether things work - stuff around with back ups - you never restore a backup over your working file in case the backup is corrupt.... but there you ..... the only way to look for problems
- The 7 day auto back up is not a 7 day retention it is just the auto system backs up every 7 days - you can of course do your own back up daily, twice daily as you like, however, if you only rely on MYOB's auto backup and you need to restore then yes - you will lose 7 days of data entry - if you restore to your own backup done 1 day ago - you lose 1 day of data entry.
- You cannot download or upload backups anymore from 2026.6 fwd.
There are a lot of other scenarios that the above doesn't cover - eg. I build new MYOB files for a client with franchised business branches - I have a template with a std CoA - inventory, suppliers - using this template is now impossible ..... just 1 scenario where MYOB's changes has put us backward in improvements.
