Ideally, you want to use one of the following processes:

Process #1 (would really only apply if you have used this supplier before).

    1. Navigate to Purchases>>Pay Bills window.
    2. Choose the Supplier.
    3. Select Include Closed Bills.
    4. Apply the payment as you would normally to a closed bill.

    Process #2

    1. Navigate to Purchases>>Enter Purchases.
    2. Choose the Supplier.
    3. Add an appropriate date.
    4. Select Record. You will receive a prompt indicating that there is little information on the transaction - select OK to this message.
    5. Complete Process #1, applying payment to that newly created bill.

The above processes will generate a debit note for that supplier, which can be seen and processed via the Purchase>>Purchase Register>>Returns and Debits. So, when you are ready to record that supplier's invoice you would record it as per normal and then navigate to the Returns and Debits, highlight that debit note and select Apply to purchase.
