MYOB Business Verification for Invoicing - IDs?

Hi

I have several questions/comments regarding Business Verification.

  1. It says you are going to ask for my ID to be uploaded - not going to happen.
  2. For the very reason you say you are implementing this process - because of fraud.  I have no guarantees from MYOB about how, where, when my ID will be used/stored/protected.  Reference to "our privacy policy" doesn't cut it.  The business owner - maybe fair enough.  Me as an employee - nope.  Are MYOB going to pay for the legal costs etc and do all the leg work, if my identity is stolen from your system?
  3. We have never asked MYOB to get involved in our customer Payment process - so this seems to be forcing that onto us.  It should be an option, not a given.  If that is not correct, the wording on your FAQ pages is misleading.
  4. It says we can no longer "email" our invoices to our customers if we don't go through the verification process.  That we have to download the invoices and send them separately.  Does this include if I use the desktop client, and MYOB links in with my local email client instead of using MYOB to send the email directly?
  5. When I was looking at the forms, our business/industry is not even mentioned in the drop down list.  There is really no option for Construction and/or Manufacturing in the Construction Industry.  The only option seems to be "Industrial Supplies: not elsewhere classified".  But that is not correct either.  We do not belong under Home/Maintenance either.

I don't know how other people feel about this.  I am very careful with what I give out and to who.

It feels like an extra option that may suit some businesses is being forced onto all businesses.  I hope I am reading the information incorrectly.

This whole issue is disturbing.  There does not seem to be any other forum to say/ask all of this.

  • Under the heading "There's an app for that". I've been testing PDF24 Creator.  It installs a print to PDF driver. In MYOB print the invoice to PDF24 and an interface opens with the option to email the PDF. Your default mail client opens and the rest you know.  It's actually quicker than relying on MYOB to send the email.  Done.

Section 8 tells us that you will share it with other 'carefully chosen' businesses.

Nowhere does it explain what security measures MYOB takes to secure our personal identification.

of course they can't.  They will store them for at least 7 years AFTER the myob account is closed.

  • Hey Eli_Fer

We require identity documents for customer due diligence and to comply with Anti-money Laundering and Counter Terrorism Financing legislation. Your information is handled in accordance with our Privacy Policy which you can read in detail over here. Section 8 will outline in detail how MYOB uses and discloses your personal information.

The business verification process is part of the secure invoicing upgrade. If you do not wish to use online payments, you can update your preferences once the business verification process has been completed. Step by step instructions can be found on this page.

If the business verification process is not completed, the ability to share invoices directly from your file will be restricted, this includes the email via Outlook function when using the AccountRight desktop.

If you are unsure on which business/industry to select or have any further questions about the verification process, you'll need to raise a case from your My Accountdashboard and the team will be able to reach out and assist accordingly.

Hi Eli_Fer, Your concerns have been covered extensively in "secure invoicing upgrade' and other similar threads.

I'm going to highlight a few points for others who may be uncomfortable with handing over sensitive info.

In a nutshell, your verification/ID documents are required so MYOB can collect payments on your behalf. Your turn over and average invoice amounts are needed so MYOB can assess their risk of potential chargebacks, disputes and issues relating to collecting money on your behalf. MYOB's new invoicing system has been designed on the assumption that 'everyone' has agreed, or will agree, to receive payments through MYOB and pay the appropriate fee, hence the need for bank account info and a direct debit agreement.

An important note, once you Verify your business, online payments through MYOB are activated by default. Although online payments can be switched off in the software, you will still need to manually adjust any pre-existing invoices before you re-issue them. Remember, MYOB's payment receipts can be switched on just as easily as you switch it off, and my concern was that a future software update may accidentally switch it all back on. How many invoices could be sent out before you realise?

The direct debit agreement and MYOB's access to your bank account can only be 'turned off' or stopped by calling MYOB directly. Once stopped by MYOB, that agreement remains active/open for a further 6 months regardless of whether you have received payments through MYOB previously or not.

    If you don't wish to participate in MYOB's secure invoicing 'Ecosystem' there are options available;

    1. Send invoices manually (downloard a PDF and send it using your own emailing system) preferred
    2. Get an exemption from Business verification (which many of us have already done)
    3. Move to a different software provider

I'm writing this because after approx 10 months of complaining and the eventual exemption from Business Verification, MYOB is once again on the band wagon sending me emails regarding the 'new' secure invoicing upgrade and how I'm AGAIN required to Verify my Business.
