Tracking in Cash Sales

Just wondering how other businesses handle cash sales?

I would say 80% of our business are cash sales. Some are large and regular customers, others may be one offs. These all go through the one cash sale account.

But this makes it pretty much impossible to track/search for previous customers. We don't really want to set up a card for every single customer that walks through the door. However, we do sometimes get a small customer that may come back months later and request the same items as last time...so we would like an easier way to search for this customer.

Is there another way to handle this? Is it possible to have a blank card for cash sales, but that allows us to change the name each time it is used? So they would all come under that account, but we could search by the customer name within that account?

I am not sure if this will help, but with all cash customers, I type any details I need (Name phone etc) in the ship to section, and I put their name in the purchase order section. This way, I can go into sales register and search for their name in a certain date range.

Sometimes its a matter of making things work (I also use job cards to find transactions by using their rego as job card)

    Hi NewJob101

No worries, when you’re putting sales through the software, you’ll need to link each one to a customer card. Also, there’s no built-in option for a “generic” card or an anonymous customer, as the system is set up to track individual customer details. If you need a quick crash course on the sales feature, I recommend having a quick read through the Entering Sales article.

If you’re just after a simple way to handle sales for customers you don’t need to track, a handy workaround is to make a “Generic Customer” card and put those sales under that. It keeps things straightforward without cluttering up your records with extra customer cards.

Forgive my ignorance...I've never used the sales side before!

But how can I change the name in the cash sale account to search by?

    Hi NewJob101,

That’s a ripper question! If you’ve got regulars coming through and you’re sick of punching in the same invoice details over and over, recurring transactions can be a real game changer in MYOB. You just set up a recurring invoice for those repeated jobs, all the info will fill itself in each time, so you’re not stuck doing manual entries every month. Top notch if you’ve got customers on subscriptions or service contracts, too. About those cash sales, you can use a single “cash sale” account and just pop in their name when you need. It makes it much easier to search later if someone comes back wanting the same as last time.

    Cheers,

    Shella
