Unable to change the payment method 'pay from account' on wage transactions

Thanks Celia, but I am well aware of when the super is due for april to june.

The question was, has the superannuation or even the PAYGW been processed for these pays using pay liabilities in MYOB?

Some employers like to pay superannuation monthly and some even on a weekly basis to manage their cash flow better.

If one of these two liabilities have been paid via payroll>pay liabilities, it will make the original pay unable to be changed as to what account it came from.

The only way to fix that is to delete the pay liability entry, correct the payment from account n the pay and then redo the pay liability entry.

Something that a more experienced BAS agent would need to do for @debwright.

My initial recommendation in this case is to Clear the AccountRight cache, And get the diagnostic log. I would also recommend discussing with your accountant because it needs to clear the electronic clearing account before transferring to another bank account. As we do not have access to your account and were unable to see what's really on your account.

Thank you for your response. I already cleared the cache and still it won't allow me to edit the payroll transactions. Could you please let me know on how to clear the electronic clearing account? As I'm the one who's reconciling my client's account and preparing reports for this client on a monthly basis.

We appreciate you patience, and coming back to us providing updates on the issue. 

When you record a transaction you want to pay electronically, the transaction is posted to a temporary holding account. This type of holding account is called a clearing account or suspense account. The payment sits in this account until you're ready to create a payment file to upload to your bank processing.

There are 2 ways to remove transactions from the Prepare Electronic Payments window:

• Process the transaction i.e. tick the transaction and select Bank File. You'll need to have a supplier added to that transaction and the relevant banking information for that employee. This would impact the Bank account that the electronic payment transaction was recorded against. Although, once recorded could record a journal entry to clear that impact on the bank account 
• Reverse out or delete transaction. This involves opening the transaction and selecting Edit>>Delete (or Reverse) transaction. Deleting may not be possible if the transaction is recorded in a previous financial year. Reversing out the transaction would generate a negative transaction in the Prepare Electronic Payment window which can be ticked and offset against the original transaction to record a 0.00 (or Void) transaction to the bank account. An employee and their details would need to be entered to complete the process. 

There is another process that can be used to clear out that Prepare Electronic Payments window. 

• Navigate to Accounts>> Account list
• Select New. 
• Give the account number, name and set the account type to be Bank. 
• Once the account has been created, navigate Set up>> Linked Account>> Accounts & Banking
• Update the Bank Account for Electronic Payments to be  that newly created account. 

After completing the above steps, the Prepare Electronic Payments Window would be cleared. 

The above process does work as the system will look at all transactions in the Electronic Clearing Account to see if they have been paid. As the New Account would have no transaction in the window would be blank.

Good Day!

Unfortunately, I mentioned that I can't edit, reverse or delete the wages transactions as the arrows are greyed out, so unfortunately - the options that you provided won't be applicable.  And in regard to clearing out the balance from Electronic Clearing Account, it seems that it will only allow me to change the account used for electronic payments, but I will still have the negative balance. 

I would appreciate if you could please help me fix the corrupt files to resolve the issue.

Can you check on your Setup>>Choose  Preferences>> Security>> click on Transactions Can't be Changed; they must be reversed. or you can check on this Help Article: Set up Preferences it contains more information.
