Purging old account Categories

We have been using MYOB since 2000. As you would appreciate we have lots of account categories that are no longer used.

The unused categories have been made "inactive" but cannot be deleted as they have transactions would like to know if they can be removed ?

Am I missing something can they be deleted or is this not an option

Even one's more than 7 years old with no activity  to align with the document retention guidelines would be great

  • Hi 1300HOTAIR

If you are using AccountRight and referring to accounts, these cannot be deleted directly (other than by a 3rd party with specialist tools such as MYOX Services) - however you can remove them indirectly.

Let's say you have 20 unused Asset accounts you want to get rid of. Nominate one of these to be the permanent account and rename, for example 1-7999 rename to Combined Old Accounts.

Then use the Combine accounts button on the Accounts List screen to combine each of the other 19 accounts with account 1-7999 - one at a time. This will in effect delete those 19 accounts.

Note1 - you can only combine accounts of the same type (Asset, Liability, etc)

Note2 - you cannot combine an account that has been used for Jobs - refer to 3rd party

    Regards

    Gavin

    Hi 1300HOTAIR,

Appreciate the feedback. It's great to hear the fix suggested by @gavin12345 is working. And yep, making the account Active and doing a quick sign out/in usually does the trick. For the combining issue: that message usually means one or more bank feeds aren’t linked to an account in Manage Bank Accounts. Even cancelled or inactive feeds still need something linked, so a quick workaround is to create a dummy bank account in your Accounts List, assign it to that feed, and the warning should clear once it finds an associated account. If it’s still blocking you, best to reach out to our live chat team through our virtual assistant, MOCA, or pop a support ticket via My Account, so we can check the flags and sort it out.

    Cheers,
    Shella

Thank you - didn't even consider this option - it will at least reduce the number of inactive categories

Just some feed back and another question

The fix is working well, you do have to flag the accounts as "active" (if inactive) and I found that I needed to sign out and then back in to "reset" the accounts so they show in the drop down list.

One issue I have found that accounts/credit cards that were linked to "Bank Feeds" will not permit combining. The accounts in question have the Bank Feed cancelled in  "manage bank Feeds" - any Ideas ???
