Exporting Reports to Excel

We frequently export reports to Excel, in the past this has been a terrific feature.

 

However this month since upgrading to 2020.3 our reports are HUGE in size, we can not email the reports they are that big.

 

Is this a known issue? what has changed?

 

 

  • Hi SueSSA , none of the report templates that AccountRight uses are above 100k, so I suspect the issue may occur in your process.

     

    Can you run a test - prepare the set of reports as you do, but save the file under a different name at the very beginning, and between each new report added. Then have a look at the file sizes, and see if there is any one report that causes a large increase. 

     

    Then repeat the process, but this time only copy the area of data from each report, not the whole thing. Again check the file sizes.

    ok just did it again using your above reference and because the spreadsheets come out with a white background and i copy the whole sheet it was creating a huge sheet.  This has changed as prior to this there was no white formatted background.

     

    It now appears to be fixed, Thank you MYOB :)

    Re the used range, if you press Ctrl+Shift+End, what cell does Excel jump to? If it's XFQ1048576 for example (the bottom-most, right-most cell in Excel 2016), then the file will be huge, and all the rows below your report should be selected and deleted.

     

    Do you add anything to the file after exporting, or just save it? What version of Excel are you using?

     

    Are you using the standard MYOB Excel template for this report, or a modified version?

    Can you please confirm if the issue is with both emailing and exporting the reports to Excel? If yes, what kind of errors do you normally experience? 


    If the reports are timing out , you can try the timeout extender. However, if it's something else or doesn't get resolved with time out extender, please attach the exact error message or log so we can investigate further.

    I export the reports to Excel and then send the spreadsheet on via email.  This month they are 200x the size they normally are and I can not email as they are way to big.

    Hi SueSSA 


    Generally, it could be due to the amount of transactions that have been retrieved in the report. You can try compressing the Excel spreadsheet and then emailing it as that would considerably reduce the file size. The only other alternative would be shortening the date range and creating a report that has less number of transactions and then emailing them out individually. 

     

    That being said, we're currently investigating if the issue is related to recent update and will post an update on this thread if it is.

    it is profit and loss, balance sheet etc nothing long or big that should cause that size.

    Hi SueSSA 


    Upon further investigation, we've not found any specific issues with the report sizes in 2020.3. The balance sheet or profit and loss reports should not grow massively in size as the data retreived for these reports are just the account values as you mentioned. However, if your reports are custom reports or have logos/images on them, try removing them as that could cause a difference.


    Also, what happens when you print the same reports from Clearwater sample file?  If they are normal in size, the issue would be with the customisation of reports as previously mentioned.

    There are no logos or images and they are being exported to Excel in the same fashion as always, again this month the end file size is huge.

     

    I run a series of reports and copy those reports into one excel spreadsheet for reporting purposes.  I copy the whole sheet not just the cells with information as it saves time, and up to now has not caused an issue.

     

    Are the reports now formatting the whole worksheet? is that the issue? if so can you not?
