Default Payroll Bank Account for Electronic Payments

 

How do I change default bank account.

 

I have gone to set up - link accounts payroll and nominated bank account.

 

But when I process payroll it is not available to select as per attached.

 

I have 50 employees that I have to pay first up tommorrow morning.

 

Help please...

    I assume you are wishing to use the account 1-1110 to make the electronic payment from? If so, you wouldn't be able to do so, as you can't pay from account that you are using as the electronic clearing account. So, in your case, you have the Bank Account for Electronic payments set as the main bank account and thus the transactions have already gone to that account. 

    Generally speaking, you would have a special holding account as the Bank Account for Electronic Payments. This does mean that the transactions can go into that account and then be processed into the required bank account. Typically, that linked account is the Electronic Clearning Account.

     

    Now, the thing is when if you went to the Setup>>Linked Accounts>>Payroll Accounts and updated the Bank Account for Electronic Payments to that new account you would not be able see those transactions already listed in that Prepare Electronic Payments window. This is due to the fact that the Prepare Electronic Payments window only looks for transactions that have not been processed electronically in that linked account. So, if you are changing the linked account to a new account those transactions are not going to be listed.

    In your case, I see two options for you to remedy this situation and get you all sorted for those transactions:

    • Delete or reverse the transactions you have recorded, update the linked account, and then reprocess them.
    • Generate a new bank account in the account lists with the necessary banking and electronic payment information for the account you want to pay it from. Process those payments from that account thus generating an ABA file so you can upload to the bank. Once that has been processed, do a transfer money from the main account to the newly created bank account to represent the payment of those funds from the main bank account. Finally, update the linked account so you are correct going forward.
