Thanks Yasmin, I have already done that to drop them down the list, however cannot be deleted as I receive a message 'cannot delete a card with Journal entries' what the journal entries are I do not know?

Hi David,
The best way to move these employees that can't be deleted is to put zzz or xxx in front of their Surname and that way all your old employees are at the bottom of your list. ie. ZZZSmith.

Hi David,
The journal entry would be any pays that have been made against the employee, or any transactions through the Pay Liabilities tab, Super, payg etc. Unfortunately Myob doesn't allow an employee to be deleted once the save option has been selected on an employee card.
Inactivating the employee will mean that you also want see it when you process your pay run.
