Downloading Files

I understand why you’re concerned about retaining access to your business records, especially when you may need them for future ATO or business requirements. MYOB does not claim ownership of your business records. However, access to data stored in an online MYOB product after a subscription ends is governed by the terms that apply to that product and subscription. You can review the MYOB Business Terms of Use, particularly the section covering term and termination. This explains the arrangements for cancellation and access to your data after the subscription ends. You can also review our Privacy Policy, which explains how we handle personal information. The ATO’s record-keeping requirements apply to the business, so we recommend exporting or backing up the records you need before access ends. Hello Genreve,

I find this completely unacceptable, after all the data is ours, not MYOB’s. I would very much like to see the government legislation that allows a data processing firm allowed to take ownership of the client’s information. I will be discussing this with the ATO, as these are the people who may want to look at it in the future. I seems to me that MYOB is holding our data to ransom – if we don’t continue to pay a subscription we can’t access our data - with it possibly being deleted. Surely this can’t be legal!

You’ve explained the issue clearly, and I agree the new process doesn’t meet your offline-working scenario. If you’re using an online company file, AccountRight needs an internet connection to open and edit it. Backups are also kept online, so they can’t be saved to a USB or laptop for offline restoration. MYOB made this change because the underlying offline technology is no longer supported and creates security and performance risks. The remaining offline option is Server Edition, but it has limitations and isn’t a long-term solution.

Why have we had the option of making a backup offline taken away?

Tell me what happens if I am in a place that has no internet connection at all?   

Knowing that I was going to be somewhere where I would not be able to have internet access, I could make a backup of my file offline (to a USB or my laptop), so I can restore that file off-line, work on it and then when I return to having internet access I can then restore that file online to replace the other file, and be up to date.

MYOB has now decided that I can not do this.  Why do we have no autonomy anymore and are not allowed to make our own decisions as to what we want to do to protect our data files?

I get that you are trying to keep a backup of your data just in case. If the file is already online, there isn’t a way to download MYOB’s cloud backup as an offline company file.

Before cancelling, it’s best to export the reports and data you want to keep for your records.

If you want to keep access in MYOB after closing the business, the read-only option may also help.

If you’re not sure what records you need to keep, it’s best to check with your accountant or tax agent.
