Cancelling Sales Orders

Is there anyway you can cancel a sales/purchase order WITHOUT deleting it?

(Auditors request) 

 

Plus when I cancel an order, the number gets reused for our next new order.  This can cause some issues with customers as their invoice numbers get out of sequence.  So I would prefer that not to happen.

    Currently, our system primarily offers a 'delete' or 'reverse' option for canceling sales or purchase orders. I completely understand the concerns regarding the order numbering, which is causing issues with the sequence for subsequent orders and invoices. Generally, upon reversing or deleting a sale, our system typically does not retain the number used from the deleted or reversed sales, minimizing any sequence disruption. However, if you're experiencing issues with the numbers being re-used, could you kindly provide a screenshot to better understand and assist in resolving your issue.

    Hi Princess

    Thanks for your response.  

    I had created sales 36610 for one customer in Nov.  This was cancelled this morning.

    It has now shown up again, for another customer (raised automatically as a backorder when invoicing).

    Please refer attached word file showing the details.

    I appreciate you sending the attached file to better understand the issue you're facing. In your case, since you're deleting the orders upon cancellation, once a used number is completely deleted, it becomes available again to be used in the next order. I regret to inform you that the only option will be to manually update those numbers if a deleted number is picked up again.

    So in the meantime, what would be the best way to deal with any cancelled sales order, so they don't continue to show in the list of outstanding orders and so the numbers don't get reused?

    Handling canceled sales orders to prevent them from appearing in the list of outstanding orders and preserving the numbering sequence can be challenging since our system doesn't currently offer a direct solution for this specific scenario. Aside from manually changing the number, you can try to convert it to an invoice and delete it. However, this might not be the best workaround for this matter. I'll consult this with the team to see if we can find other workarounds that are best suited to handle this scenario.
