Card not showing when trying to create a sale

Hi,

 

We are currently setting up Accounright and are importing cards from a previous file but have found that although the cards are all showing in the card file and the data within the card is consistent with each other, when we go to do a sale, not all cards are available. They are not marked as inactive.

 

I would upload screen shots but as it's customers personal details i'm not going to

    Thanks for taking the time to reply, I ended up calling and 3 hours later we had to reset the file as I didn't have a back up due to it being new with no data except the cards in it. I was told that because I uploaded so many contacts (approx 14k) at a time it caused the issues. I don't buy it, the card files were extracted from another Accountright file so were formatted correctly, I just don't think they knew how to fix it but didn't matter to me as there were no transactions yet anyway.

     

    Now just need to split the data up and see how we go!

    Generally speaking, the only thing that would prevent a card from appearing in the Enter sales window would be that they are inactive.

     

    My recommendation would be to check the following points in relation to those cards:

    • The card is not inactive - Card File>>Card Lists>>Select the card -- within the Profile tab: Inactive Card is NOT ticked
    • The card is in fact a customer card - Card File>>Card Lists>>Select the card -- within the Profile tab: Card Type shows Customer
    • You do in fact have the Enter Sales window up when trying to select or type in the customer's name -- Sales>>Enter Sales>>Customer

    If those have been checked and the card is still not appearing, I'd love to see the screenshots of the Card Profile tab and that of the Enter Sales window where they are not appearing. For privacy, you are welcome to send me a private message with those screenshots.

    Interesting. Sounds like you are going to try the approach again. While I would say 14,000 customer cards would be alright on the larger side, it's probably a good idea to look at deleting the records that are old and no longer needed, so you are not just taking old records across for the sake of it.

     

    I saying that let us know how you get on after that attempt. If still causing the same situation do check the above points.

    I can see that you just sent me a private message on this Forum with an example. I actually don't think there was anything wrong with the setup of those customers and the software is working as I would expect, as well as similar to mine.


    With AccountRight, the Customer field in the Enter Sales window is not a partial search field, it's an exact search. So in your case, you had two cards both individual: lets' say "John Smith" and "Smith Robertson". The cards would be listed as "Smith, John" and "Robertson, Smith" in the Customer list. If you searched for "Smith" it would only find the Smith, John card, you would have to search for Robertson (or "Robertson, S") to locate that other card.
