Sales Invoice

I sent an original sales invoice for $11,900.00.  The boss changed his mind making it $10,900.00.  The $10,900.00 was paid by the client and was reconciled in April, 2021 BAS.  Leaving the $1,000.00 as unpaid.   I have totally confused myself with what I have done.  I firstly reversed the invoice on the same date it was originally sent.  I then applied a credit note and now I have a minus -$10,900.00 sitting in credit.  I have no idea what to do now and I would appreciate some advice.  Thank you.  Susan

    Thanks for your post.

     

    Basically, your boss has given the customer a discount. When this happens, you would do one of the following options:

     

    1. Add the discount in Receive Payments.
    2. Edit original invoice (untick the box "Transactions CAN'T be changed" in Setup>>Preferences>>Security).
    3. Record a manual credit note (this is: create a negative invoice for $1000). Then go to Settle Returns & Credits, apply the discount to the sale and click Record.

     

    To fix your situation I would delete everything so we are back to original invoice and payment.

    • Delete the reversal (untick the box "Transactions CAN'T be changed" in Setup>>Preferences>>Security)
    • Delete the credit note
    • Then use option 2 or 3 to apply the discount correctly

     

    Option 1 is usually the easiest, but in this situation you would have to delete/reverse the Receive Payment transaction and the bank reconciliation.

     

    Using option 2 or 3 won't affect bankreconciliation or the BAS report as you're not making any changes to the actual payment transaction.
