Bank Reconciliation Glitch

This is an inconsistent glitch in the Reconciliation process. After each reconciliation we lock the period so no accidental changes supposedly can occur.

Last week when opening Reconciliations the opening balance didn't balance. Checking the printed report created at each Reconciliation confirms it was in balance at the time of the last reconciliation.

Going back through previous reconciliations I found that some entries were missing from 6 months earlier. These of course where previously reconciled and the reconciliation report agrees. The figures are on the printed report but do not appear in the Reconciliation window.

Our Bookkeeper found the transactions by looking in the Journal but could offer no explanation as to how or why this happens. Help please.

    The first thing to do is run the Journal Security Audit Report.

    Set the session dates to the period from the last reconciliation to now and the transaction dates to the period where the transactions are missing.

    This report will tell you if anyone has changed/modified the transactions or deleted them.

      that worked well thank you.

      We can see in the report that the missing transactions disappeared on the same day our book keeper visited, who incidentally is the only person who unlocks the system.

      Sometimes there are double entries and our book keeper tidies things up with journal entries rather than straight out deleting items.

      From here on we will ask the book keeper when finishing up, to verify the last reconciliation closing balance still matches the reconciliation report. Hopefully that will bring attention to anything done that perhaps should not have been, at the time when it occurred, instead of six months down the track.
