Adding text to a sales invoice which is not visible on the actual invoice

Does anyone know if there is the ability to enter comments on a sales invoice but is NOT visible to the customer. For example is there a comments box we can add to the invoice template for internal use only and not visible on the actual invoice - if that makes sense.

Thank you :)

Thanks for your post and welcome here to the Community Forum.

Regarding your inquiry, as of this time, the ability to add an internal comment or notes directly on a sales invoice for internal use is not available in AccountRight. However, you can achieve a similar result by using the "Invoice Memo" field, which is intended for internal notes and is not visible to the customer on the printed or emailed invoice.

To do this, open the sales invoice you want to add internal comments to >> In the invoice entry screen, you should find a field labeled "Invoice Memo" or something similar for you to enter internal comments or notes >> Type in the internal comments or notes that you want to attach to the invoice then save the invoice.

Thank you for your response it is much appreciated. We have a field named "journal memo".

It tends to autopopulate with "sale;JackSmith" (or whatever the customer name is) I just want to double check that overwriting this will not affect any reports. Is this field completly irrelevant?

      Many thanks

        Hi Adele2442

        You're most welcome.

Regarding your question, the "Journal Memo" field is often a user-entered memo or description associated with a transaction. It provides a way for users to add additional information or context to a transaction, and it is not typically used for critical data that affects financial reporting.

If the "Journal Memo" field is auto-populating with specific information such as sale;JackSmith, it might be a default setting or a result of previous entries. You can generally overwrite this field without affecting standard reports.

However, it is essential to consider checking the following:

        • If you have custom reports that specifically rely on the information in the "Journal Memo" field, overwriting it might impact those reports. Review any customs reports or queries you use to ensure they will not be affected.
        • If maintaining specific information is important for your record-keeping or audit purposes, you might want to preserve or document the existing information before overwriting.
        • Overwriting the "Journal Memo" field will not retroactively change historical data, but it will affect how the information appears in future reports.
