Purchase bills can be posted to locked period via online in-tray

Hi all,

Due to reporting purposes, we always lock the priod after finalising month end. However, I recently found out that with Myob browser version when uploading bills to in-tray and let the system populates the info from the bill, the bills can be posted to locked period. If the bill is entered mannually, the system locks it. However, It doesn't seem like the locked period function works for browser in-tray function.

 

For example: we locked the period up to July 2025 (no transactions can be posted prior 31/07/2025) morning on 05/08 and yesterday 06/08, a purchase bill were posted to myob via in-tray function dated 31/07/2025. I even tested myself and the system let the bill recorded.

 

I've attached the screenshot of security audit report showing when the bill got recorded, then I have to change the date to Aug and the last 2 were my testing.

 

Is there anything else I can do to prevent this to happen?

    Hi Goodbartrade,

     

    Thanks, a heap for the screenshot! You can’t actually post purchase bills into a locked period in MYOB, whether you’re using the browser version or any other way, including in-tray uploads. If you need a bill in a locked period, you’ll have to unlock it first by tweaking the lock date settings. The system’s lock should be across the board, not just for manual entries. You can check this article on how lock periods works in MYOB. If things not working as it should be, best to reach out to our Live Chat team a buzz via our virtual assistant, MOCA or by submitting a support case via MyAccount  so we can dig a bit deeper for you.     Thank you for your reply. 

    I'm under the same impression as well that when we lock the period, this should have applied across the board online, desktop, in-tray upload and mannually entering. However, it's not the case. I've checked it myself becasue in the last 2 months (June and July) we had encoutered same issue. I will submit a support case via MyAccount as you suggested.

    I've raised the case with support team and to my disappoint, the locked period doesn't apply. Below is the response from the representative of MYOB Team. Isn't bills entering considered as creating transaction to system, whether through the in-tray or manual method.
