Personal leave for teachers

I do payroll for a Preschool. The staff are a mixture of teachers, childcare workers and the office administrator.

I have just discovered that the teachers have a cap on their personal leave. As teachers they are entitled to 25 days of personal leave (pro-rata for part time staff). In 2018, a cap was brought in. The cap comes in after 6 years of employment. From this time there is a cap of 120 days. They are still entitled to 25 days of personal leave. However at the end of the year they can only add 10 unused days to the cap, even if they took no personal leave. How do I put this into MYOB. I use Account Right.  The childcare workers and the office administrator are not affected by this cap. Any ideas appreciated. Regards Ellen

    Hi JBWEPS,

     

    Thanks for sharing the leave details. This is definitely one of those trickier setups.

     

    A good way to handle it would be to create a separate personal leave entitlement category just for the teachers, so their leave is tracked separately from everyone else on the team. Make sure the calculation basis is set up correctly so the fixed accrual rate is applied each year. You can find more info on how to set this up here: Leave and entitlements.

     

    It’d also be worth checking in with your accountant or financial advisor, so they can give you more tailored advice on the best way to manage this for your payroll setup and ATO compliance.

    Dear Princess,

    The leave had already been set up for the different staff.

    My issue is I have never had to adjust personal leave balances. Can you point me in the right direction?

    First I will need to work out which staff were employed 6 years before 2018, then work how much leave they used each year and do the adjustment. Would it be better to the adjustment every year or just to the end of 2025?

    Hi JBWEPS,

     

    Good question, especially when the leave is already set up and it’s the adjustment part that needs sorting. Since the leave is already in place for your different staff, the next step is to use leave entitlement adjustments to make sure each person ends up with the right balance. We’ve got a handy help link on adjusting leave entitlements that walks through how to do that. 

     

    As for whether it’s better to adjust year by year or just bring everything to the correct balance at the end of 2025, that’s one to check with your accountant. They’ll be able to guide you on which adjustment method makes the most sense for how you want the records handled.
