Account set up - No 'Detail Account' option

Hello

In removing some 'header' accounts in our Chart of Accounts, we have come accross some Accounts that don't have the option of 'Detail Account'.

We can post to them, however we can't move them up or down to include under Sub Headings.

As per the attached, the accounts at the same level as the 'Expenses' are the ones that have this issue.

  • Hi jmaney

I suggest you spend some time in the Support area - here for example. MYOB accounts have a specific 4 level hierarchy structure. Account 6-0000 is level 1, all expenses accounts (such as 6-0410) should be below this level. Details accounts should be at a lower level than Header accounts.

When an account cannot be changed/moved, you need to fix the preceding account(s) first.

    Regards

    Gavin

    HI Gavin

    Thanks for your reply.

The issue that we are having with the hierachy of accounts, is (as per the attached screenshot) we are unable to move 'down the hierachy'  the accounts sitting at the same level as 6-0000.....eg accounts: Cleaning, Computer & IT, Donatons, Electricity, Entertainment etc

Although these accounts are Detail Accounts in nature, they don't seem to have the 'Detail Account' option in their set-up.  Only the 'Header Account' option, which is not ticked.

These accounts originally each had 'Header Accounts', however in a restructing of company, and simpliflying the account structure, we decided to remove the Header Accounts for each of these accounts....which has now put them at this highest level in the hierachy, and given them an odd set-up with no option to move them down the hierachy.

    Hi jmaney

I will repeat what I wrote:

Account 6-0000 is level 1, all expenses accounts (such as 6-0410) should be below this level.

In your image 6-0410 is at the same level as 6-0000, and so the only option is to treat this as a Header.

I suggest you start from scratch - change all headers back to detail. Move everything back to level 1, then starting from the top, set 6-0000 as Header. Then set 6-0100 as a Level 2 account as a header, 6-0110 and 6-0120 as level 3 detail accounts.

Then set 6-0300 as a level 2 detail account.

Then set 6-0410 as a level 2  account this will then give you the option to set as a header or a detail - it cannot be a level 1 detail account as 6-0000 is a level 1 header account.

    etc etc

    Regards

    Gavin

    Hi Gavin

I sincerely appreciate your suggestion, and i wish it was that simple.

However, we can't move down the expense accounts that are currently sitting at Level 1, ...eg the 6-0410 Cleaning account.

The Up/Down options are simply 'greyed' out.

    Hi jmaney

    If:

'I suggest you start from scratch - change all headers back to detail. Move everything back to level 1'

doesn't work, you may have corrupted the file, which means either sending it to MYOB to get fixed (they might have a script for this - tagging Princess_R  and Celia_B ) or sending it to a 3rd party to get fixed, or starting a new file.

    Regards

    Hi there

We are having problems with one of our MYOB files.

In tidying up, and removing some header accounts...the 'Detail Account' has moved to a Level 1 account, and will not allow us to move it down. (the move Up/Down selection buttons are greyed out.

Also, within these accounts it is not showing that it's a Detail Account....only the Header Account option is showing...but obviously not selected, as these are Detail accounts.

I have screen shots in the conversation below.

Are you able to advise how to fix.  Thks Janine

    Hi jmaney

Thank you for your post. Base on the screenshot and the information you've provided the account (6-0000) the header account and it place a default account 6-0100. The 6-0300 will not fall under 6-0100, if you want to group these account starting 6-0300, you'll need to change its account number. Change the account numbers after the account 6-0120 (Admin and Finance Group) to 6-0130, 6-0140,.....to 6-0190. It should look like the sample screenshot below:

Please let me know how you go with this.

    Hi Princess_R

    Thank you for your reply.

The outcome that we are after is the same as one of our other entity files, as per the attached screen shot....where all individual expense accounts sit directly under the 6-0000 Header, and only those Detail Accounts which need to be grouped are at a level below this (sitting under their header).

The second screen shot shows what the accounts looks like when we open them up, we don't have the option to change their number, and they don't have the 'detail account' option.

We had header accounts for all of these individual accounts, eg (Cleaning Header  6-0400) with multiple cleaning accounts nested below, but we have simplified our accounting processes and now only needed the one account for each expense, so no longer needed Header Accounts for all of these.

This issue was created when we deleted their header accounts....this automatically moved the 'Detail Account' to the highest level...now it doesn't give us the option to do anything with it.

As per the screen shot of the other Entity, we sucessfully deleted the Header Accounts in this MYOB file, with no issue.

    Many thanks

    Janine
