Sales: Automatically email overdue invoices to customer
Hi, Xero has a function that I would like to see in MYOB. It is an automated feature that will send customers a reminder of their outstanding invoices along with a copy of the invoice. It would need to have some options for each user of MYOB, such as turning it on or off, which account would receive the email or not andthe number of days between sending the invoice and the auto sending of the reminder invoice. As a small business I am looking for everything that will save me time. I think the Bank Feed feature is great but it has a big problem. When you go Find & Spend Money you can not select a RECURRING TRANSACTION. Therefore, you have to go out of Bank Feeds & Into Banking & Spend Money & process the transaction as we used to do it. That means you still need to PRINT off your bank statements for data entry. I thought the idea of Bank Feeds is that you could do away with paper bank statements & process Recurring Transactions on the Bank Feed screen. We are really not saving that much time with the Bank Feeds screen it would greatly improve productivity & stress if we could select Recurring Transactions in the Spend Money feature in Bank Feeds? When entering data say via Spend Money in AccountRight Standard v19 (or less) you can create the card as you go. I have inadvertently on a number of occasions created a customer card instead of a supplier card, and transactions have been allocated to the card over the years automatically. On occasions I have picked this up and havejust change the card-type without a hitch BUT in the 2012 version this cannot be done. I have just picked up another card in my data file that has the incorrect card type but this field is now greyed out. Don't think this is such a new idea but would be great if MYOB could make it work. Our process is to receive a deposit or full payment on a Sales Order before we manufacture the custom order. We need to be able to send an Sales Order Invoice to the customer to allow them to make a full or part payment online via MYOB payments - keep it as an order in our system, not an invoice - until the job is complete. Currently there is only the option to choose an online payment to include bPay, Visa or Mastercard. We therefore can't use this as we don't accept credit cards. However we would like to be able to email our clients their invoice with the direct payment option for bPay. It seems very strange that we can not chose to have one and not the other! The In Tray appears as it develops will be a great asset and time saver. If you can link to an exisiting bill, You should be able to link to an existing order. We eneter our orders (yellow) then send to our supplier. hen the invoice comes in we change to a bill (blue). This allows us to keep track of backorders etc. If you could link to an existing order with your in tray invoice why could you not automatically change the order to a bill?. It is very frustrating that reporting is not available more than the 12 months prior to the current financial year. Now that we have been in the business for nearly 5 years we would like to look at and analyse how we have performed. It seems without accessing and restoring prior years data this is not achieveable. I am new to MYOB, but very unhappy with how the software deals with credit notes on remittance advices. When we pay Suppliers ( 100+ per month) we always have a mix of invoices to pay and credits to take. Whilst the system will take up the credits the Supplier is not getting the breakdown on the remit advice. The remit advice needs to show invoices line by line and ALSO credits line by line. That way the Supplier knows exactly what the total amount represents. I have discussed this issue with 2 Live Chat consultants and both have no solutions, one even suggests to "hand write" the information. The remit is supposed to be emailed so that option is not professional enough for such a well known system. My previous software package of 20 years handled this simple accounting task perfectly. Keen for feedback and also a software enhancement quickly. Given credit and invoices are entered the same way except with a negative value I am surprised this issue has not been resolved by other retailers paying suppliers years ago! Is it possible to have a 'Sales Note' field where you can record certain notes about a customer that staff must be aware of during EVERY sale? Currently we have a customer who needs to have job addresses appear on their end of month statement. This means our user must overtype the 'Sale Journal' field so that the 'Description' coumn on the statement will accurately show the job address. In order for staff to remember to do this it would be great if there was a pop up prompt when that customer is picked for a sale that reminded staff of this specific procedure. I could see this being useful for lots of reasons as there are always special customers who need something different and this would be a way for users to ensure those special needs are not overlooked or forgotten. We don't use the Finance Change option. I've even unticked it in the Linked Accounts option. When I'm receiving payments, sometimes I'll tab through and all of a sudden there is a figure in the finance charge box that i have to delete and reapply somewhere else. We never ever use this feature, and if there's no linked account, it would be good if this text box was set to ENABLED=FALSE if there is no linked account, so it wont allow accidental entry. Hello, When processing payroll, in the Process Payments window of the individual employee, it would be useful to see an hourly rate column next to the hours column. This way we can review the hourly rate to ensure accuracy, aswell as hours and posting GL codes. We use a different system for employee onboarding so all v2022.7 has done is to add yet another unnecessary mouse click to my processes. Please allow us to turn this off if we will never use this feature. If the MYOB solution becomes more customisable then we may look at it in the future but our onboarding process needs a lot more information than what this requests so if we use it, we would need to send multiple requests to the new employee which looks unprofessional. Also, we use custom fields for the emergency contact information so having that default to the notes section means we would need to cut and paste the answers anyway. In order to change the preferences (eg which periods are locked off) all the windows need to be shut down. This is not helpful when you are 30 lines into a General Journal and go to save it only to find out that the period has been locked. You used to be able to go into the preferences - change them and then save the transaction - now you just lose it. or you have to post it to an incorrect date - change the preferences - find the transaction again and then change the date. It is one of the most important of all areas for all businesses to keep a tight reign on cash flow and overdue accounts, buy MYOB lets us down badly in credit managment reporting. Need a simple overdue customer report which can be filtered by all customers who are one or two terms past their invoice term. Need a report which lists all customers currently on credit hold Need a report which lists all customers over their credit limit. Also it would be excellent to see if a customer is on credit hold when you are processing payments. Wewould really like to have a function for finding all duplicate sales invoice numbers and purchase order numbers. The reason is that when a back order is created (either sales or purchase), we retain the original invoice/PO as this is the ONLY way to link it to the original order. We add a suffix for each back order eg -1, -2, -3 to identify that it is the 1st, 2nd, 3rd (sometimes up to 7th!) backorder relating to the original. I have posted another idea that suggests an option for this to be automated.... However, currently, this is a manual task and it sometimes gets forgotten. Having duplicate invoice or PO numbers creates a big problem for many companies, especially those that use automation for applying payments. We often have invoices that can be up to 2-10 pages long and have many hundreds of parts on them Each invoice is usually one job for our customers and it takes a long time to individually input the job number for every part I would imagine that most businesses using a job number system would do a seperate invoice for each job for a customer ( that is what we do) and what is needed is a spot to put the job number for the entire invoice so that it automatically inserts it each time a part is added. When users receipt monies to a order, apply payment to order and then turned the order into an invoice, why is it I can't amend, reverse or delete a payment? Often clients or even bookkeepers might enter the payment to the incorrect order, we just want to change the date or deposit to a different account number. Typical scenario the user forgot to allocate the payment to undeposited funds and put the payment directly to the bank account. We can't change a thing! The below example is tested where I have the reverse tick on and off. Either one does not work as options are greyed out. Below example of how you can't delete or reverse Example of how you can't amend the date or the account number where funds are deposited to: Often end users are making simple mistakes and get very annoyed when they can't fix the mistakes easily and often end up making more of a mess trying to fix it. I see this mess all the time with clients using sales orders, applying payment and converting to an invoice. Then the bookkeeper/consultant comes into play and also gets frustrated because we can't make a small amendment without going through a 5-10 minute process.So 6 transactions will take a minimum of 30 minutes to fix. It is difficult for a consultant to train some clients in this current lenghtly steps. The clients are not bookkeepers and they get very confused. Currently in order to amend, reverse or delete the only way this can be fixed is to follow this lenghtly process :smileyfrustrated: In order to clear out the deposit you need to reverse the sale. I have had a few requests from people who are professional ebay sellers wanting an accounting package that allows them to get direct feeds from Paypal. I hear that Xero offers this however this is not offered by MYOB. Paypal is the preferred method of payment for many online sellers so MYOB is missing out on many new clients by not offering this add on. Superannuation guaranteePayments in Australia must be paid for all employees (there are some minor exceptions) that are paid $450 or more in any calendermonth . However if the employee is under 18 years of age they must also ( in addition to the $450 requirement) work atleast30 hours per week . This 30 hour requirement is confirmed by both "Australian Tax Office " and " Fairwork Australia" MYOB does not have the 30 hour requirement in the algorithm, and as a consequence my business which employees a large number of junior casual staff has been paying superannuation unnecessarily. (Over $2,500 in the last two years) I run MYOB Accountright Plus with the latest updates MYOB product specialist agrees the 30 hour test is not in their software. This issue can be worked around by "de checking " superannuation in the card file and reinstating if the employee works 30 hours , but this is not the type of activity that should need to be done. AR2012 will unreconcile a transaction if it is changed in various ways, including just changing the cheque number. I recommend this is changed immediately. Ever since the program was first written, one of the commonest support issues has been around users 'accidentally' deleting transactions, and throwing reconciliations out of balance. Users find the bank reconciliation process difficult at times, and imo there is NO reason for the status of a reconciled transaction to be automatically changed. I would very reluctantly accept a prompted message "do you want to mark this transaction as unreconciled" following an edit, but only if a bank preference was added to allow/disallow status changes, so that users who want to continue v19 behaviour can do so.
